Job Description

The Account Operations Specialist provides comprehensive administrative and operational support to ensure accurate and efficient processing of account-related activities while delivering exceptional service to internal and external customers. This role focuses on account maintenance, documentation processing, record keeping, research, reconciliations, and support for various operational workflows in alignment with company policies, procedures, and regulatory requirements. The specialist collaborates with multiple departments to maintain high standards of service quality, operational efficiency, and compliance.

Responsibilities

  • Process account-related requests and documentation accurately and within established service level expectations.
  • Perform a variety of administrative and operational support functions, including mail processing, document management, and data entry.
  • Maintain accurate records and ensure proper retention of documentation in accordance with company policies and regulatory requirements.
  • Compile, track, and maintain daily, weekly, and monthly operational reports and statistics.
  • Review and respond to service requests within established turnaround times and customer service standards.
  • Research and resolve account inquiries, discrepancies, and operational exceptions in a timely and professional manner.
  • Perform account maintenance activities and updates while ensuring accuracy and compliance with internal guidelines.
  • Conduct daily reconciliation reviews and maintain supporting documentation for outstanding items.
  • Investigate and follow up on unresolved reconciliation issues, collaborating with appropriate departments to achieve timely resolution.
  • Process returned mail, address updates, and related account maintenance activities to keep account information current.
  • Support internal teams by handling operational requests and responding to inquiries promptly and effectively.
  • Provide phone and email support to internal and external customers, delivering a high level of customer service.
  • Assist with special projects, audits, reporting requirements, and other operational initiatives as assigned.
  • Cross-train in and provide support to other operational functions to ensure business continuity and service excellence.

Essential Skills

  • 2–3 years of administrative experience in an office or operational environment.
  • Proficiency in Microsoft Excel for data entry, tracking, and reporting.
  • Strong skills in documentation handling, including preparation, organization, and retention.
  • Experience with data entry and accuracy-focused administrative tasks.
  • Working knowledge of Microsoft Office applications for daily administrative and operational work.
  • Ability to perform reconciliation activities and support daily reconciliation reviews.
  • Solid administrative and clerical skills, including filing, mail processing, and office support.
  • Ability to manage multiple tasks in a fast-paced environment while maintaining attention to detail.
  • Strong customer service skills for phone and email support to internal and external customers.
  • Effective written and verbal communication skills for responding to inquiries and service requests.

Additional Skills & Qualifications

  • High School Diploma or GED.
  • Experience in administrative assistance and clerical administrative support.
  • Background in office support and administrative clerical functions.
  • Ability to compile and maintain operational reports and statistics.
  • Comfort working with documentation management systems and record retention processes.
  • Willingness to cross-train across different operational functions to support business continuity.
  • Interest in career growth opportunities within a large financial institution.
  • Ability to support audits and reporting requirements as part of operational initiatives.

Work Environment

This is a fully onsite role in a fast-paced operational environment, working Monday through Friday from either 8:00 a.m. to 4:30 p.m. or 8:30 a.m. to 5:00 p.m.

Job Type & Location

This is a Contract position based out of Albany, NY.

Pay and Benefits

The pay range for this position is $17.00 - $20.75/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
