We are looking for an Administrative Assistant to support a busy property management office in New Jersey. This Contract position is ideal for someone who enjoys keeping daily operations organized, communicating with tenants and vendors, and handling a variety of administrative tasks with accuracy. The role requires a detail-oriented approach, strong follow-through, and the ability to manage multiple priorities in a fast-paced office setting.
Responsibilities:
• Manage incoming phone calls and emails, respond to routine inquiries, and direct messages to the appropriate contacts.
• Coordinate calendars, arrange meetings, and schedule appointments to support office operations and property management activities.
• Maintain accurate records by entering, updating, and organizing information across internal documents and tracking systems.
• Prepare correspondence, reports, and presentation materials using Microsoft Word, Excel, Outlook, and PowerPoint.
• Provide courteous customer service to tenants, vendors, and visitors while helping resolve general administrative questions.
• Support outbound communication for follow-ups, reminders, and appointment confirmations as needed.
• Assist with office documentation, filing, and general administrative processes to keep day-to-day workflows running smoothly.• Previous administrative support experience in an office environment, preferably within property management or a related field.
• Strong verbal and written communication skills with the ability to handle inbound and outbound communications effectively.
• Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
• Accurate data entry skills and strong attention to detail when managing records and correspondence.
• Ability to prioritize tasks, stay organized, and manage schedules effectively in a fast-moving setting.
• Customer service experience with a detail-oriented and helpful approach when interacting with internal and external contacts.
• Dependable work habits and the ability to work independently while supporting a team-oriented office environment.
