The Accounts Receivable Manager oversees and supports a small accounts payable and accounts receivable team, ensuring accurate billing, timely collections, and strong customer relationships. This role combines hands-on financial operations with team leadership, employee development, and broad administrative support across the office.

Responsibilities
  • Manage and supervise a team of 3–5 employees in the accounts payable and accounts receivable department.
  • Handle escalated AP/AR issues by communicating directly with customers to resolve billing and payment concerns.
  • Train new employees, provide onboarding support, and ensure they understand department processes and expectations.
  • Assign and set up daily tasks for team members to ensure coverage of all AP/AR and administrative functions.
  • Conduct performance reviews, recognize and reward strong performance, and carry out disciplinary actions when necessary.
  • Oversee the processing, management, and accuracy of invoices and billings.
  • Track, monitor, and collect payments to maintain healthy accounts receivable balances.
  • Maintain positive and professional customer relationships through responsive communication and problem-solving.
  • Perform data entry, including transferring information from one database to another during system transitions.
  • Enter order and delivery information to support warehouse staff and drivers.
  • Use Microsoft Office programs, including Word, Excel, Outlook, and PowerPoint, to complete daily tasks and reporting.
  • Answer and transfer incoming phone calls and ensure they reach the appropriate person or department.
  • Provide customer service for all incoming call inquiries, addressing questions and directing requests as needed.
  • Assist in a variety of administrative areas to support smooth office operations.
Essential Skills
  • Minimum of 3 years of experience in accounts receivable management.
  • Proven experience in accounts payable and accounts receivable processes.
  • Demonstrated team management and supervisory experience.
  • Strong data entry skills with high accuracy and attention to detail.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Ability to manage escalated customer issues and maintain professional relationships.
  • Solid organizational and time management skills to oversee multiple tasks and priorities.
  • Effective verbal and written communication skills for customer interactions and team leadership.
Additional Skills & Qualifications
  • Associate degree in accounting, finance, or business administration.
  • Experience working in an office environment with administrative responsibilities.
  • Comfort with handling phone-based customer service and call routing.
  • Ability to support warehouse and delivery operations through accurate order and delivery data entry.

Work Environment

This position is based in an office environment with standard business hours from 8:00 a.m. to 5:00 p.m. The role involves regular use of computers and Microsoft Office applications to manage financial data, documentation, and communication. The setting is professional yet relaxed, with business casual clothing required on a daily basis. Work includes interaction with office staff, warehouse personnel, and drivers, as well as frequent phone and email communication with customers.

Job Type & Location

This is a Contract to Hire position based out of Billings, MT.

Pay and Benefits

The pay range for this position is $28.85 - $33.65/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
