Job Description

The Document Coordinator is responsible for administering, controlling, maintaining, and continuously improving the document management system at the Syracuse, NY site. This role partners closely with Operations, Quality, Supply Chain, Engineering, and other functional areas to ensure all controlled documents are accurately created, reviewed, approved, distributed, and maintained in accordance with internal policies and regulatory requirements. The Document Coordinator serves as the primary administrator of the SharePoint Document Control System and manages the full document lifecycle, including creation, revision, approval, issuance, archival, and obsolescence.

Responsibilities

  • Administer and maintain the SharePoint-based Document Control System, ensuring reliable and secure access for authorized users.
  • Collaborate with Operations, Quality, Supply Chain, Engineering, and other functional areas to develop, update, and maintain Work Instructions, Standard Operating Procedures (SOPs), Job Aids, and Forms.
  • Ensure all controlled documents are properly managed, version-controlled, and accessible to authorized personnel in accordance with company policies and regulatory requirements.
  • Maintain consistent document numbering, formatting, revision history, and retention practices across all controlled documents.
  • Monitor document status and proactively coordinate timely reviews, approvals, and updates to keep documentation current and accurate.
  • Archive obsolete documents in a controlled manner and ensure that only current, approved versions are available for use in daily operations.
  • Participate in corrective and preventive action activities related to document control processes, contributing to continuous improvement of the document management system.
  • Support records management activities as applicable, aligning document and records handling with organizational standards.
  • Communicate document control processes, changes, and expectations clearly and confidently to employees at all levels of the organization.
  • Work in a self-directed manner to identify document control issues and implement effective solutions with limited guidance.
  • Collaborate effectively with cross-functional teams, demonstrating professionalism and a service-oriented approach to internal stakeholders.

Essential Skills

  • High school diploma or GED.
  • At least 2 years of quality experience within a manufacturing, production, or operations environment.
  • At least 2 years of experience using Microsoft Office platforms.
  • At least 2 years of experience with technical writing, including creating and editing structured documentation.
  • Experience with document control practices and systems in an operational or manufacturing setting.
  • Ability to effectively and confidently communicate ideas, concepts, and programs to all levels of the organization.
  • Strong understanding of technical writing principles and the ability to apply them to work instructions, SOPs, and related documents.
  • High level of proficiency with Microsoft Office products, including Word, Excel, and other core tools.
  • Strong organizational skills with the ability to manage multiple documents, versions, and deadlines efficiently.
  • Self-directed work style with the ability to implement solutions and drive tasks to completion with limited guidance.
  • Professional demeanor and service-oriented approach when interacting with employees and senior leaders.
  • Ability to thrive in a fast-paced, lean work environment while maintaining accuracy and attention to detail.
  • Strong teamwork and collaboration skills, with the ability to work effectively across functional areas.

Additional Skills & Qualifications

  • Associate degree from an accredited institution.
  • Experience administering or working extensively with SharePoint for document control or content management.
  • Experience working within a unionized manufacturing or operations environment.
  • Familiarity with records management practices and compliance-related documentation.
  • Demonstrated ability to support corrective and preventive action initiatives related to document control.
  • Experience developing and maintaining standardized templates and formats for technical documents.

Work Environment

This role is 100% on-site at the Syracuse, NY facility, providing direct access to operations, quality, supply chain, and engineering teams. The standard schedule is Monday through Friday, approximately 8:00 a.m. to 5:00 p.m., in a fast-paced, lean work environment focused on continuous improvement and operational excellence. The position involves regular interaction with various departments and levels of the organization, requiring a professional, service-oriented presence and strong collaboration skills in a manufacturing or operations-focused setting.

Job Type & Location

This is a Contract position based out of Syracuse, NY.

Pay and Benefits

The pay range for this position is $30.00 - $30.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
