HR & Accounting Specialist - Construction Firm

Key Responsibilities

  • Process payroll and maintain employee and subcontractor records
  • Manage HR and payroll functions using ADP
  • Maintain accounting records using QuickBooks
  • Handle accounts payable, accounts receivable, invoicing, and expense tracking
  • Assist with payroll taxes, quarterly reports, W-2s, 1099s, and required filings
  • Coordinate pre-employment background screenings in compliance with federal, California, and local laws
  • Obtain required employee authorizations and maintain confidential screening records
  • Assist with employment verification, reference checks, driving-record checks, and drug-testing coordination when applicable
  • Manage workers’ compensation, general liability insurance, and related audits
  • Assist with employee benefits and retirement-plan administration
  • Maintain onboarding documents, personnel files, and compliance records
  • Track subcontractor agreements, certificates of insurance, W-9s, and licensing documents
  • Support compliance with federal, California, city, and county requirements
  • Assist with business registrations, renewals, permits, and regulatory filings
  • Maintain accurate and organized electronic and physical records
  • Assist with construction project financial reporting and job-cost tracking
  • Help obtain and manage bid bonds, performance bonds, payment bonds, and other surety requirements
  • Coordinate with the company’s CPA, insurance broker, payroll provider, screening provider, and bonding agent
  • Track filing deadlines and promptly notify management

Required Qualifications

  • Previous HR and accounting experience with a construction company
  • Strong working knowledge of ADP and QuickBooks
  • Experience coordinating employee background checks and pre-employment screening
  • Understanding of applicable privacy, authorization, and recordkeeping requirements
  • Experience with payroll, payroll taxes, insurance, and workers’ compensation
  • Knowledge of California employment and payroll compliance
  • Experience with employee and independent-contractor documentation
  • Understanding of construction job costing and subcontractor recordkeeping
  • Familiarity with construction surety bonds
  • Excellent organizational skills and attention to detail
  • Ability to work independently, meet deadlines, and protect confidential information
  • Strong written and verbal communication skills

Preferred Qualifications

  • Experience supporting a California-licensed construction contractor
  • Familiarity with CSLB requirements and local business registrations
  • Knowledge of California requirements governing employment background screening
  • Experience preparing financial and compliance documents for public or commercial construction projects
  • Bookkeeping, accounting, HR, or payroll certification

Schedule and Compensation

This is a part-time independent-contractor opportunity requiring approximately two or three days per week. The schedule may be flexible based on company needs and the contractor’s availability. Compensation will be based on qualifications and construction-industry experience.
