We are seeking a dependable, organized, and personable Administrative Assistant to support the day-to-day operations of our small consulting firm. This is an in-person position that requires strong communication skills, attention to detail, professionalism, and the ability to manage multiple priorities in a professional and dynamic work environment.
The ideal candidate is comfortable working with clients, handling administrative responsibilities, managing computer-based systems, and keeping accurate records. Experience with marketing is a plus. Candidates will be required to complete a background check.
Key Responsibilities
- Answer and manage incoming phone calls and respond to routine inquiries professionally.
- Provide excellent customer service to clients and visitors.
- Perform general administrative and clerical duties.
- Manage email, calendars, correspondence, documents, and office records.
- Enter, update, and maintain accurate information in company databases and computer systems.
- Assist with customer and client database management, including maintaining organized and up-to-date records.
- Prepare, send, and track invoices and billing information.
- Follow up on outstanding invoices and assist with accounts receivable administration.
- Maintain accurate files and documentation.
- Assist with scheduling, meetings, projects, and other day-to-day office needs.
- Support the consulting team with research, data entry, document preparation, and other administrative tasks as needed.
- Assist with marketing activities and projects when appropriate.
Qualifications
- Previous administrative, office, customer service, or related experience preferred.
- Strong computer skills and proficiency with Microsoft Office or Google Workspace.
- Comfortable learning and working with databases and other software systems.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to handle confidential information professionally.
- Comfortable managing multiple tasks and shifting priorities.
- Professional, friendly, dependable, and team-oriented.
- Marketing experience is preferred but not required.
- Billing, invoicing, bookkeeping, or accounts receivable experience is a plus.
