Job Description
The Engineering Coordinator supports Project Managers by organizing, tracking, and maintaining all project-related documentation and data to ensure accurate, timely, and efficient project execution. This role coordinates closely with cross-functional teams, manages project information in ERP systems, and helps drive on-time delivery through diligent follow-up, documentation control, and continuous improvement of project workflows and tools.
Responsibilities
- Support Project Managers with project setup, execution, tracking, and closeout activities, ensuring all required steps and documentation are completed accurately and on time.
- Create and maintain project files, logs, trackers, and records in ERP systems and shared folders, ensuring all information remains organized, current, and easily accessible.
- Assist with project kickoff preparation by coordinating meeting schedules, preparing agendas, recording minutes, and following up on action items until completion.
- Maintain accurate project documentation, including customer correspondence, submittals, transmittals, schedules, purchase-related records, and status reports.
- Coordinate with Sales, Operations, Planning, Purchasing, Production, Shipping, Quality, Engineering, and Finance to gather, update, and distribute project information as needed.
- Track project milestones, deliverables, due dates, and open action items, and promptly escalate risks or delays to the Project Manager.
- Assist with material status tracking, document routing, shipment readiness coordination, and internal follow-up to support on-time project execution.
- Prepare recurring project status updates and compile data for internal and customer-facing reports.
- Support invoice package preparation, billing backup collection, and closeout documentation as directed by Project Managers.
- Maintain change logs, issue logs, and project correspondence records to support scope control and execution tracking.
- Assist Project Managers with gathering actual cost, commitment, and schedule data to support project reviews and forecasting activities.
- Enter and maintain project data in Dynamics BC, including Bills of Material (BOMs) received from Engineering for Purchasing action, ensuring data integrity and completeness.
- Help ensure project information is complete, current, and accurate in ERP and reporting tools.
- Support continuous improvement of templates, trackers, workflows, and PMO administrative processes to enhance efficiency and consistency.
- Comply with company safety, quality, confidentiality, and recordkeeping requirements at all times.
- Own the accuracy, speed, and completeness of documentation and data related to assigned projects.
- Manage action item and meeting follow-up to ensure commitments are tracked and completed.
- Provide project data tracking and coordination support to keep stakeholders informed and aligned.
- Facilitate clear internal communication and maintain strong administrative organization across project teams.
Essential Skills
- At least 1 year of experience working as a project coordinator or in a similar project support role.
- Experience working in a manufacturing setting, with exposure to engineering or production environments.
- Ability to understand Bills of Material (BOMs) and fabrication drawings.
- Strong experience with Microsoft Suite, with 3+ years of experience using tools such as Excel, Word, and Outlook.
- Proficiency in Microsoft Excel for tracking, reporting, and data management.
- Experience with document review and handling submittal drawings.
- Strong organizational skills with a focus on documentation accuracy, completeness, and version control.
- Ability to track project milestones, deliverables, and action items with attention to detail.
- Effective communication skills for coordinating with cross-functional teams and following up on tasks.
- Ability to work with ERP systems and maintain accurate project data.
- Commitment to following safety, quality, confidentiality, and recordkeeping requirements.
This is a Contract to Hire position based out of Pasadena, TX.
Pay and BenefitsThe pay range for this position is $25.00 - $30.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
