Front Desk Coordinator
Job Description
We are looking for a Front Desk Coordinator to support daily front office operations for a non-profit organization in Pueblo, Colorado. This Contract to Permanent position is ideal for someone who enjoys creating a welcoming environment, handling a high volume of communication, and keeping administrative processes organized. The person in this role will serve as a key point of contact for visitors, clients, and staff while helping the office run smoothly through dependable clerical and scheduling support.
Responsibilities:
• Serve as the first point of contact by answering incoming calls, routing inquiries to the appropriate team members, and taking clear, accurate messages.
• Welcome visitors and clients in a courteous manner, guide them through sign-in procedures, and alert staff promptly when guests arrive.
• Coordinate calendars and appointment schedules for clients and internal personnel, helping prevent conflicts and improve daily workflow.
• Complete administrative support tasks such as copying, scanning, filing, and preparing documents for distribution.
• Maintain an orderly reception area and monitor office supply levels to ensure the front desk remains fully stocked and presentable.
• Support case coordination activities by organizing records, entering information accurately, and maintaining both paper and electronic files.
• Respond to routine client questions with care and direct more complex concerns to the appropriate staff members.
• Send reminders, notices, and other client-facing communications as needed while helping create a positive office experience.
• Protect confidential client and organizational information and keep front desk records and databases current and well organized.
• High school diploma or equivalent required.• Previous experience in a reception, front desk, or customer service position.
• Ability to manage a multi-line phone system and handle inbound calls efficiently.
• Strong verbal and written communication skills with a detail-oriented and approachable style.
• Demonstrated organizational skills with the ability to balance multiple priorities in a busy environment.
• Experience with clerical tasks such as filing, record maintenance, data entry, and document handling.
• Comfortable working with sensitive information while maintaining accuracy and confidentiality.
