We are looking for an experienced Office Manager to support the daily administrative and financial operations of a busy mechanical construction company in Monroe, Washington. This Contract position will play a key role in keeping office workflows organized, supporting project and leadership teams, and ensuring accurate coordination across employees, vendors, and clients. The ideal candidate brings strong judgment, a proactive mindset, and the ability to manage competing priorities in a fast-moving environment.

Responsibilities:
• Direct day-to-day office activities to keep administrative processes running smoothly and efficiently.
• Organize and maintain digital and paper records, ensuring documents are accurate, accessible, and up to date.
• Oversee accounts payable and accounts receivable functions, including processing invoices, tracking payments, and supporting financial accuracy.
• Prepare payroll information, monitor employee time records, and complete related reporting requirements, including certified payroll documentation.
• Maintain employee files and provide administrative support for onboarding, offboarding, benefits coordination, and insurance paperwork.
• Support project accounting activities by tracking job costs, purchase orders, vendor invoices, and expense records.
• Keep vendor, subcontractor, customer, licensing, insurance, and compliance documentation current and properly organized.
• Assist with public works administration by preparing prevailing wage records and other required compliance reports.
• Serve as a central administrative resource for management and project staff by handling calls, correspondence, mail, and general office communication.
• Manage office supply levels, coordinate with equipment or service providers, and help improve administrative procedures for greater efficiency.• At least 3 years of experience in office administration, office management, bookkeeping, or a related business support role.
• Prior experience in the construction industry is strongly preferred.
• Working knowledge of accounts payable, accounts receivable, payroll support, and general office coordination.
• Familiarity with certified payroll, prevailing wage reporting, or public works documentation, especially within Washington State.
• Proficiency with Microsoft Office applications, including Excel, Word, and Outlook.
• Experience using accounting, payroll, or construction management software; exposure to Deltek platforms is preferred.
• Strong organizational skills, attention to detail, and the ability to manage multiple deadlines independently.
• Strong communication skills and discretion when handling sensitive employee or company information.
