Schedule: Hybrid, 3 Days Onsite per Week
Duration: 3-6 Month Contract

Pay range: $28-32/hour
About the Opportunity
Rubicon Programs is seeking a detail-oriented and proactive HR Administrator to support the Human Resources team during a temporary assignment. This role is ideal for an experienced HR professional who thrives in a fast-paced environment and enjoys managing critical administrative and compliance-related tasks.
The HR Administrator will play an important role in maintaining employee records, supporting HR operations, handling documentation and filing processes, and ensuring data integrity within the HRIS system. The ideal candidate is highly organized, self-sufficient, eager to learn, and comfortable handling sensitive employee information.

The HR Administrator will play an important role in maintaining employee records, supporting HR operations, handling documentation and filing processes, and ensuring data integrity within the HRIS system. The ideal candidate is highly organized, self-sufficient, eager to learn, and comfortable handling sensitive employee information.
Key Responsibilities
- Maintain and organize employee personnel files and HR documentation.
- Upload, scan, rename, and manage employee records within Workday and other HR systems.
- Perform accurate data entry and ensure HRIS records remain current and compliant.
- Monitor and respond to inquiries received through the HR inbox and Zendesk ticketing system.
- Process incoming mail and HR-related correspondence.
- Assist with unemployment claims administration and related documentation.
- Support HR compliance efforts, including employee records management and required paperwork.
- Ensure files are properly categorized, maintained, and retained according to California labor laws and company policies.
- Gather, organize, and audit HR documents to ensure completeness and accuracy.
- Provide administrative support for day-to-day HR operations as needed.
- 2+ years of HR administrative, HR coordinator, or HR support experience.
- Previous experience working with an HRIS; Workday experience strongly preferred.
- Strong understanding of HR documentation, employee records, personnel files, and compliance requirements.
- Knowledge of California employment laws and HR best practices.
- Experience handling unemployment claims and related HR processes preferred.
- Proficient in Microsoft Excel and Microsoft Word.
- Experience managing shared inboxes, ticketing systems, or Zendesk preferred.
- Exceptional attention to detail and organizational skills.
- Ability to work independently and manage multiple priorities with minimal supervision.
- Professional discretion when handling confidential employee information.
