Locations: Pasadena, Cerritos, or Irvine, CA (fully onsite) Employment Type: Direct Hire Salary: $80,000-$100,000 annually, depending on experience Overtime: Opportunity for overtime pay

About the Position

We are looking for an experienced Legal Billing Coordinator to join our team. This is an excellent opportunity for someone with a strong legal billing background who is comfortable working with electronic billing systems, managing detailed billing requirements, and coordinating with attorneys, clients, and internal teams.

The ideal candidate is highly organized, detail-oriented, and able to manage multiple billing deadlines while ensuring invoices meet both firm and client requirements.

Key Responsibilities
  • Review monthly prebills and make necessary adjustments based on attorney instructions, firm procedures, and client billing guidelines.
  • Manage the billing process from prebill review through final invoice submission.
  • Prepare and submit invoices through electronic billing platforms and client-specific billing portals.
  • Monitor rejected invoices, billing discrepancies, and electronic billing issues and work toward timely resolution.
  • Research and respond to billing appeals, deductions, and disputed charges.
  • Partner with attorneys, legal staff, and accounting personnel to ensure invoices are accurate and submitted on schedule.
  • Maintain current billing information, client requirements, and electronic billing records.
  • Prepare billing reports and provide financial information to attorneys and management as needed.
  • Assist with billing system updates, process improvements, and implementation of new billing requirements.
  • Communicate with clients regarding invoice questions, billing issues, and payment-related matters.
  • Maintain organized documentation and ensure billing activity follows applicable client and firm requirements.
  • Take on additional billing and accounting projects as needed.
Qualifications
  • Required: Previous legal billing experience in a law firm or legal environment.
  • Approximately 5-10+ years of billing experience, preferably with significant exposure to legal billing.
  • Strong hands-on experience with E-Billing and client billing portals.
  • Experience with Aderant Expert, Elite, or a similar legal billing/accounting system.
  • Familiarity with electronic billing platforms such as BillBlast or comparable systems.
  • Experience handling E-Billing appeals, invoice rejections, deductions, and billing disputes.
  • Strong understanding of client billing guidelines and Outside Counsel Guidelines (OCGs).
  • Excellent attention to detail and ability to identify and correct billing discrepancies.
  • Strong written and verbal communication skills.
  • Ability to prioritize multiple deadlines and work effectively in a fast-paced environment.
  • Comfortable working independently while collaborating with attorneys, accounting staff, and clients.
  • Proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
