Lease Admin Supervisor
Job Description
We are looking for an experienced Supervisor to oversee lease administration activities for a growing real estate portfolio. This role leads a team responsible for maintaining accurate lease records, coordinating financial obligations, and supporting compliance across the portfolio. The position works closely with accounting, finance, legal, operations, and external property contacts to keep lease-related processes organized, timely, and reliable.
Responsibilities:
• Lead, coach, and evaluate lease administration team members while setting clear priorities and supporting ongoing skill development.
• Direct the day-to-day management of lease records, ensuring agreements, amendments, renewals, and terminations are accurately maintained in the lease management platform.
• Review lease abstracts and related data entries to confirm completeness, consistency, and alignment with contractual terms.
• Track key dates, payment obligations, and lease milestones to help ensure timely action and adherence to agreement requirements.
• Oversee rent, taxes, operating expenses, and other occupancy-related payments while helping resolve discrepancies with landlords or property managers.
• Examine landlord statements and rent schedules, and support reconciliation of common area maintenance, triple net, and other operating expense charges.
• Coordinate the recording and collection of sublease revenue and partner with internal stakeholders to maintain appropriate insurance coverage for leased sites.
• Collaborate with accounting and finance teams on reporting, audit support, compliance needs, and portfolio analysis.
• Contribute to process enhancements, reporting improvements, system updates, and special projects that strengthen lease administration operations.
• Associate degree with additional relevant experience, or a bachelor’s degree in accounting, finance, real estate, business administration, or a related discipline.• At least 3+ years of experience in lease administration, commercial real estate, accounting, or property management.
• Previous experience leading, supervising, or guiding a team in an operational or administrative environment.
• Working knowledge of commercial lease terms, documentation, and portfolio administration practices.
• Ability to review financial details accurately, reconcile charges, and investigate billing or payment variances.
• Strong organizational skills with the ability to manage deadlines, prioritize workload, and handle multiple lease activities at once.
• Effective communication skills for working across internal departments and with landlords, property managers, and other external partners.
