Project Manager- Commercial Construction
Job Description
POSITION SUMMARY
The Project Manager is responsible for the day-to-day oversight and successful delivery of restoration, mitigation, reconstruction, and construction projects for Robbins & Popwell, LLC (RP Contractors). This role manages projects from initial scope through completion, including insurance-driven emergency mitigation and reconstruction work as well as negotiated commercial and multifamily construction projects. The Project Manager is responsible for accurate Xactimate scoping and estimating, budget and schedule management, subcontractor and crew coordination, and maintaining strong communication with clients, adjusters, property managers, and internal teams throughout the life of each project.
KEY RESPONSIBILITIES
Project Scoping & Estimating
- Perform accurate project scoping, measurements, and estimates using Xactimate for insurance restoration and mitigation projects.
- Prepare detailed estimates and proposals for non-insurance reconstruction and construction work.
- Review and reconcile estimates with insurance adjusters and carriers as needed to support timely claim approval and payment.
Project Management & Execution
- Manage assigned projects from initial assessment through closeout, including mitigation, reconstruction, and ground-up or renovation construction scopes.
- Develop and maintain project schedules, budgets, and manpower/material plans to keep projects on time and within budget.
- Coordinate and supervise subcontractors, field crews, and vendors to ensure work is performed to company quality standards, safety requirements, and project specifications.
- Conduct regular site visits and inspections to monitor progress, quality, and safety compliance.
- Identify and resolve field issues, scope changes, and schedule conflicts as they arise, escalating as needed.
Client & Stakeholder Communication
- Serve as the primary point of contact for clients, property managers, insurance adjusters, and agents throughout the project.
- Provide regular, clear project status updates to clients and internal leadership.
- Support the business development team by maintaining strong client relationships that lead to repeat and referral business.
Financial & Administrative
- Track project costs against budget and estimate, flagging variances to leadership.
- Prepare and submit accurate, timely project documentation, including scopes, change orders, photos, and closeout paperwork.
- Support timely invoicing and collections by ensuring documentation supports billed work.
- Maintain project files and data within the company's project management and estimating software.
QUALIFICATIONS
- Xactimate experience is required.
- Minimum of 3 years of experience in insurance restoration is required.
- 5+ years of experience in restoration and reconstruction preferred.
- Experience in multifamily and commercial construction required.
- Healthcare project experience is a plus.
- Proficiency with the Microsoft Office Suite (Word, Excel, Outlook) required.
- Working knowledge of water mitigation, fire restoration, and reconstruction/construction processes, terminology, and industry standards.
- Strong understanding of construction budgeting, scheduling, and project documentation practices.
- Valid driver's license and reliable transportation; ability to travel to job sites throughout the Mid-South region.
- OSHA 10/30 certification preferred; IICRC certifications a plus.

PHYSICAL REQUIREMENTS & WORK ENVIRONMENT
- Regular travel to active job sites, which may include exposure to dust, noise, varying weather conditions, and areas affected by water or fire damage.
- Ability to walk job sites, climb stairs and ladders, and access all areas of a property being assessed or worked on.
- Ability to lift and carry equipment or materials as needed on site.
- Ability to respond to time-sensitive emergency mitigation calls outside standard business hours as required.
- Combination of office-based administrative work and on-site project management.
