The Optometric Administrative Coordinator position plays a vital role in ensuring efficient daily operations by managing patient services, insurance verification, contact lens ordering, inventory control, and administrative support across multiple office locations. Responsibilities:
- Provide exceptional customer service by greeting patients and creating a welcoming office environment
- Verify medical and vision insurance eligibility, benefits, authorizations, and patient financial responsibility
- Collect copayments, deductibles, and outstanding balances while accurately processing payments and balancing daily receipts
- Order contact lenses for patients and maintain accurate order records, ensuring timely delivery and patient communication
- Monitor, organize, and maintain contact lens inventory and office supply levels across all practice locations
- Coordinate with vendors to place inventory orders, resolve shipping discrepancies, and manage back orders
- Assist with tracking product usage and inventory levels to minimize shortages and waste
- Maintain accurate patient records within the electronic medical record (EMR) system
- Travel between satellite office locations in a rotation of days to provide administrative support, inventory management, and office coverage
- Collaborate with providers and clinical staff to ensure efficient patient flow and high-quality patient care
- Maintain compliance with HIPAA and all office policies regarding patient confidentiality
- Perform additional administrative duties as assigned
Preferred Qualifications:
- Experience with contact lens manufacturers, ordering platforms, and vendor relations
- Familiarity with optical and vision insurance plans
- Knowledge of optical terminology, contact lens brands, and lens parameters
- Experience with inventory control and purchasing procedures
Minimum Qualifications:
- High school diploma or equivalent required
- Previous experience in an optometric, ophthalmology, or medical office preferred
- Knowledge of medical and vision insurance verification, authorizations, and patient billing
- Experience ordering contact lenses or managing optical products is highly desirable
- Strong organizational and inventory management skills
- Basic math skills with excellent attention to detail
- Proficiency with electronic medical records (EMR), practice management software, Microsoft Office, and general computer applications
- Excellent communication, problem-solving, and customer service skills
- Reliable transportation and willingness to travel between satellite office locations
- Ability to multitask, prioritize responsibilities, and work independently in a fast-paced environment

Physical Requirements:
- Stand and walk during a typical shift to assist customers and manage inventory
