Position Overview
We are seeking a dependable, organized, and detail-oriented Administrative Assistant / Bookkeeper to join our team in Richardson, Texas.
This is a full-time, on-site position combining day-to-day administrative responsibilities with bookkeeping and financial support.
The ideal candidate is someone who is comfortable working with numbers, maintaining accurate financial records, using accounting software, communicating professionally, and managing multiple priorities at the same time.
This individual will work closely with management and other members of our team to help ensure our administrative and financial operations remain organized, accurate, and efficient.
Key Responsibilities
Bookkeeping & Financial Support
- Process invoices and maintain accurate financial records
- Manage accounts payable and accounts receivable
- Record and categorize daily financial transactions
- Prepare and enter journal entries
- Perform account and bank reconciliations
- Assist with the preparation of financial statements and internal reports
- Maintain organized accounting records and supporting documentation
- Use accounting software, particularly QuickBooks, to record and manage transactions
- Assist management with additional bookkeeping and financial administrative needs
- Help ensure financial records are complete, accurate, and maintained in a timely manner
Administrative Support
- Support day-to-day office and administrative operations
- Maintain organized physical and electronic files
- Prepare, organize, and update company records and documents
- Manage correspondence and assist with professional communications
- Schedule meetings and assist with calendar coordination
- Prepare reports, spreadsheets, and other administrative materials
- Assist management and team members with special projects
- Help track deadlines, follow-ups, and outstanding administrative items
- Provide general support to leadership and other departments as needed
Required Qualifications
- Previous bookkeeping, accounting, or finance-related experience
- Experience handling daily financial transactions and account reconciliations
- Hands-on experience with accounting software, preferably QuickBooks
- Strong attention to detail and commitment to accuracy
- Strong organizational and time-management skills
- Ability to manage multiple responsibilities and deadlines
- Comfortable working with financial records, spreadsheets, and administrative documentation
- Ability to maintain confidentiality when handling company, employee, and financial information
- Strong written and verbal communication skills
- Dependable, professional, and responsible
- Ability to work effectively both independently and as part of a team
Preferred Qualifications
- Previous experience in a combined administrative assistant and bookkeeping position
- Proficiency with QuickBooks
- Proficiency with Microsoft Office, including Excel, Word, and Outlook
- Experience supporting management or company leadership
- Experience preparing financial or operational reports
- Experience maintaining organized business and accounting records
- Ability to learn new systems and processes quickly
- Experience working in a growing or multi-company business environment is a plus
