Accounting Manager
Full-time · Monday–Friday, 40 hours/week · Reports to Ownership
The Role
The Accounting Manager owns the integrity of the company's financial records and leads the day-to-day accounting function across all five branches. This is a hands-on management role accountable for three things: accurate, on-time financial reporting; complete tax and audit compliance; and reliable payroll, benefits, and HR administration. It includes supervising a two-person accounting team and serving as the accounting resource for every branch.
Key Result Areas
1. Financial Reporting & Accounting Operations
The books are accurate, reconciled, GAAP-compliant, and closed on time — giving ownership a dependable picture of the company's financial position.
- Financial statements, schedules, and reports are complete, balanced, and GAAP-compliant every period
- The general ledger, chart of accounts, and journal entries reflect the company's true financial position
- All bank accounts are reconciled and cash balances monitored; transfers, wires, and deposits are handled accurately and on time
- Payables stay current and paid on schedule, with a clean aged-payables position
- Receivables are reviewed regularly, bad debt is identified and reported, and vendor/customer records stay accurate
- Required statistical reporting (US Census Bureau and other quarterly, annual, and 5-year surveys) is filed accurately and on time
- The two-person accounting team is supervised, developed, and backstopped when coverage is needed, and all five branches receive dependable accounting support
2. Tax, Audit & Regulatory Compliance
Every filing, payment, and audit obligation is met on time, and the company passes audits cleanly — no penalties, no unmanaged exposure.
- Sales tax is filed and paid accurately across all monthly, quarterly, and annual cycles, with schedules kept current
- Estimated tax payments are made accurately and on time to the appropriate agencies
- All audits — annual CPA audit, sales tax, workers' comp, IRS, and retirement — are managed to clean, timely completion
- The company stays compliant with Department of Labor and other applicable regulations
- General insurance policies are reviewed, kept current, and paid so coverage never lapses
3. Payroll, Benefits & HR Administration
Employees are paid accurately and on time, and benefits and HR records stay correct, compliant, and clearly communicated.
- Payroll is prepared and submitted to ADP accurately and on schedule, and employee information is distributed correctly
- Employee records — new hires, changes, and separations — are entered and maintained accurately
- Health, flexible spending, life, disability, and other benefits are administered so employees have accurate coverage and clear information
- 401(k) and profit share plans are administered with accurate, timely reporting, with this role serving as the plan point of contact
- Plus special projects and administrative duties as assigned.
Qualifications & Skills
- Accounting degree required
- Familiarity with full-cycle accounting and financial operations
- Supervisory experience a plus
- Proficiency with accounting software and Excel; ADP/payroll experience a plus
- Strong attention to detail, organization, and the ability to manage multiple deadlines independently
- Notary, or willingness to become one, a plus
