Bookkeeper / Accounting Coordinator


Location: Queens, New York
Schedule: Flexible, with at least 4 days per week onsite
Hours: Approximately 6–8 hours per day, based on business needs


We are seeking an experienced, organized, and dependable bookkeeper to support a growing group of businesses based in Queens.


The position will initially focus on the bookkeeping and day-to-day financial administration of a building maintenance company. As the organization grows, the role will expand to include oversight of bookkeeping, job costing, and financial reporting for construction and real estate development projects.


This is a flexible position, but we need someone who can provide consistent, responsive support. The ideal candidate is comfortable working in a growing business environment, establishing organized accounting procedures, and taking ownership of the company’s financial records.


Responsibilities:

  • Maintain accurate and up-to-date financial records
  • Manage accounts payable and accounts receivable
  • Reconcile bank accounts and credit cards
  • Enter and properly categorize transactions
  • Prepare invoices and track customer payments
  • Process and track vendor bills and payments
  • Assist with payroll records and payroll coordination
  • Maintain vendor information, W-9s, certificates of insurance, and related documentation
  • Prepare regular financial reports for ownership
  • Coordinate with the company’s accountant and tax professionals
  • Monitor expenses, budgets, and cash flow
  • Develop organized bookkeeping and recordkeeping procedures
  • Eventually assist with construction job costing, project budgets, subcontractor payments, and development-project reporting


Qualifications:

  • Prior bookkeeping or accounting experience
  • Proficiency with QuickBooks Online
  • Strong knowledge of bank reconciliations, accounts payable, and accounts receivable
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple companies, accounts, and priorities
  • Dependable, responsive, and comfortable working independently
  • Strong communication skills
  • Experience with building maintenance, property management, construction, or real estate development is strongly preferred
  • Experience with construction job costing is a plus
  • Experience with AppFolio is preferred but not required


Position Details:

This role requires an onsite presence in our Queens office at least four days per week, with additional or fewer onsite days depending on business needs. The schedule can be flexible, but consistent availability and ongoing support are essential.
