The Plant Administrator is the central administrative resource for the facility, ensuring the efficient day-to-day operation of the plant. This role provides administrative support to plant leadership through purchasing, inventory administration, payroll coordination, reporting, recordkeeping, scheduling, and other essential office functions. The Plant Administrator also partners with Corporate HR to support employee onboarding, payroll administration, and other employee-related administrative processes.

What you will be doing:

Administrative and Office Support

  • This position will assist in document control and administrative tasks focused on the following:
    • Accounts Payable
    • Purchasing
    • Inventory Management
    • Shipping & Receiving
    • Data Entry
    • QA/QC
  • Serve as the primary administrative support for the plant by coordinating office operations and ensuring day-to-day administrative functions run efficiently.
  • Coordinate inbound and outbound freight logistics.
  • Coordinate inbound shipments with customs brokers.
  • Schedule meetings, prepare agendas, and coordinate travel arrangements.
  • Create purchase orders and maintain inventory management software.
  • Organize turnover packages and maintain accurate administrative records.
  • Communicate effectively with plant leadership, employees, vendors, and corporate support teams.

Payroll & Employee Support

  • Review weekly payroll and timekeeping, working with supervisors to resolve discrepancies prior to submission.
  • Coordinate recruiting and hiring activities, including job postings, interview scheduling, pre-employment screenings, and candidate communication.
  • Coordinate employee onboarding and offboarding, including required paperwork, orientation, payroll setup, and benefit enrollment.
  • Assist employees with routine payroll, benefits, and HR system questions, partnering with Corporate HR as needed.

Administrative & Plant Support

  • Maintain accurate employee records, required workplace postings, and other administrative documentation.
  • Support company communications, policies, safety initiatives, and employee programs at the plant level.
  • Follow all company safety, quality, environmental, and operational policies and procedures.
  • Work collaboratively across departments and provide administrative support for plant projects and continuous improvement efforts.
  • Perform other duties as assigned.

Additional Position Expectations

  • This position supports a unionized manufacturing facility and requires accurate, timely recordkeeping and documentation.
  • While the position primarily works during standard business hours, occasional availability outside of normal working hours may be required to support plant operations, employee needs, or special circumstances.

The required skills and education to be successful:

  • Excellent organizational skills with strong attention to detail.
  • Strong verbal, written, and interpersonal communication skills.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced manufacturing environment.
  • Proficiency with Microsoft Office Suite.
  • Experience with payroll, HRIS, ERP, or other business systems; ADP TotalSource experience preferred.
  • Ability to handle confidential information with professionalism and discretion.
  • Associate's or Bachelor's degree in Business Administration, Office Administration, Human Resources, Accounting, or a related field preferred, or equivalent work experience.
  • Two or more years of experience in office administration, payroll, administrative support, or HR support, preferably in a manufacturing environment.
