Position Overview
This is a dual-focus role split between client-facing customer service and behind-the-scenes administrative support for our advisors. The right candidate is someone who is organized, personable, and comfortable wearing multiple hats in a fast-paced professional environment. You will be a key point of contact for both clients and staff, and your work will directly support the quality of service we deliver every day.
---Key Responsibilities
**Administrative & Advisor Support**
- Provide high-level administrative support including preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings
- Prepare advisors for weekly client meetings by printing and organizing reports, assembling presentation materials, and ensuring all relevant account information is up to date
- Manage advisor calendars and coordinate scheduling across internal and external stakeholders
- Handle general office operations including managing supplies, coordinating with vendors, and maintaining a professional office environment
**Client Services**
- Serve as a warm and professional first point of contact for clients by phone and in person
- Make outbound reminder calls to clients ahead of scheduled appointments
- Contact prospective and new clients to schedule initial appointments and follow-up meetings
- Respond to routine client inquiries and route more complex questions to the appropriate advisor
- Process new account paperwork and assist existing clients with account maintenance and service requests
- Coordinate follow-ups with custodians, fund companies, and other financial institutions as needed
**Data & Compliance**
- Maintain and update the client relationship management (CRM) system to ensure accurate, current client records
- Assist with compliance-related administrative tasks, including records retention and documentation requirements
- Handle all client information with the highest level of confidentiality and professionalism
## Qualifications
**Required**
- 2+ years of experience in an administrative, customer service, or client-facing role
- Excellent written and verbal communication skills
- Basic skills in Microsoft Office (Word and Excel)
- Strong organizational skills and exceptional attention to detail
- Ability to manage multiple priorities and meet deadlines in a small-office environment
- Professional, courteous demeanor with a genuine commitment to client service
- Demonstrated ability to handle sensitive and confidential information with discretion
**Preferred**
- Experience in financial services, wealth management, insurance, or a related field
- Familiarity with a CRM platform (e.g., Redtail, Wealthbox, Salesforce)
- FINRA licensing (Series 6, 65, or 66) would be a benefit but is not necessary.
