Position Overview
This position will provide first-level customer service to both external and internal customers and will be responsible for supporting spare parts sales order activities. The role involves creating sales quotations, order acknowledgements, order status updates, order changes, and RMA returns.
The position requires someone who can respond promptly to customer orders and inquiries while managing multiple priorities in a fast-paced environment. You will also coordinate with warehouse, logistics, purchasing, and material planning teams to ensure material availability and support on-time customer deliveries.
Key Responsibilities
- Manage sales orders, including quotation creation, order entry, acknowledgements, order changes, order status, fulfillment coordination, and occasional invoicing.
- Verify order information and ensure accurate entry into the SAP ERP system, including customer details, part numbers, quantities, pricing/discounts, shipping instructions, terms, and delivery dates.
- Monitor a Microsoft Outlook group mailbox and customer portals to receive and respond to customer requests and orders.
- Respond professionally to customer questions, inquiries, order changes, and expedite requests.
- Coordinate with internal teams to resolve customer issues and provide timely updates.
- Provide regular order status updates, track backorders, and monitor delivery performance.
- Work closely with Purchasing, Material Planning, Warehouse, and Distribution Center teams to support on-time shipments.
- Proactively identify orders at risk of delay or on hold and coordinate appropriate resolution.
- Handle customer complaints related to shipments or invoices, including RMA returns, missing documentation, credit memos, and exchange orders.
Minimum Qualifications
- 1–3 years of relevant experience in Customer Service, Sales Order Administration, Supply Chain, Distribution, Material Planning/Scheduling, Purchasing, or Inventory/Production Control.
- Strong written and verbal English communication skills.
- Excellent organizational skills and attention to detail.
- Ability to accurately work with order totals, credits, discounts, percentages, and related calculations.
- Ability to work effectively within a team/matrix organization.
- Ability to work independently, multitask, and prioritize effectively.
- Proactive problem-solving skills with the ability to identify potential issues and take corrective action.
- Legally eligible to work in the United States.
Preferred Qualifications
- SAP experience, particularly in sales order management, is highly preferred.
- Experience with ERP-based Sales Order Management systems, EDI, MRP, inventory systems, or replenishment.
- Working knowledge of quotation and sales order management processes.
- Spare parts experience, particularly within the aviation or electronics manufacturing/repair industry, is preferred.
- Good working knowledge of Microsoft Outlook, Excel, Word, and PowerPoint.
- Experience preparing reports, metrics, charts, or dashboards.
- Power BI experience is a plus but not mandatory.
- Knowledge of Import/Export regulations, Incoterms, and purchase order terms and conditions is a plus.
- Customer Service, APICS Inventory/Planning, or ISM Supply Chain certification/training is a plus.
