About the Role
Northedge Steel is looking for a highly organized, professional, and resourceful Office & Administrative Manager to join our North Carolina team.
This is a broad, hands on role for someone who enjoys variety, takes ownership, and likes being the person who keeps things organized and moving forward.
You will work closely with company leadership while helping manage the administrative functions that support our office and business. Your responsibilities will touch executive support, office operations, accounting administration, company records and renewals, technology coordination, HR support, leadership meetings, and special projects.
No two days will look exactly the same.
What You'll Do
Office & Leadership Support
• Maintain a polished, professional, and welcoming front office
• Greet and assist customers, applicants, vendors, and visitors
• Assist leadership with email organization, calendars, appointments, travel, meetings, calls, and follow up
• Coordinate office supplies, vendors, maintenance, meetings, lunches, and general office needs
• Research vendors and services, gather competitive quotes, and help move projects through completion
• Assist with special projects and administrative needs across the company
Accounting & Company Administration
• Coordinate contractor Certificates of Insurance and vendor setup
• Assist with indirect bills, company credit card expenses, receipts, documentation, and other assigned accounting duties
• Help coordinate monthly sales commission reports
• Maintain organized company records and recurring administrative requirements
• Coordinate Secretary of State filings, contractor license renewals, vehicle registrations and inspections, insurance renewals, and other company renewals
• Help develop reliable tracking and reminder systems so important deadlines do not fall through the cracks
Systems, HR & Leadership Coordination
• Help administer the company's phone system, general voicemail, user accounts, and RingCentral tasks
• Coordinate company account and user setup and removal
• Work with our outside IT provider to coordinate technology needs and follow support issues through resolution
• Provide administrative HR support, including interview scheduling, onboarding and offboarding coordination, and time off calendar management
• Attend EOS leadership meetings as meeting scribe
• Help prepare meeting information and ensure department leaders have required data ready
• Track To Dos and follow up with responsible team members after meetings
Special Projects
Special projects are an important part of this position.
You may be asked to research a new vendor, gather multiple quotes, coordinate an office project, audit company subscriptions, organize records, help implement a new system, coordinate with outside consultants, or tackle an administrative project we have never handled before.
You do not need to know how to do everything when it is assigned.
We do expect you to be comfortable saying, "I'll figure it out."
That means asking good questions, researching options, involving the right people, staying organized, following up, and helping get the project across the finish line.

Experience
Previous experience in office management, executive support, administrative operations, accounting administration, operations coordination, or a similar role is preferred.
Experience with Microsoft Office and business software is preferred. Experience with ERP or accounting systems, RingCentral, HubSpot, EOS, HR administration, vendor management, or similar business systems is a plus.
More important than experience with any specific system is your ability to learn quickly, stay organized, and follow through.
