Summary:
We are seeking a highly experienced Senior Executive Assistant to provide high-level support to a C-Suite executive in a complex banking/financial services environment.
Key Responsibilities:
- Serve as a trusted gatekeeper and strategic administrative partner to a C-Suite executive.
- Manage complex calendars, priorities, domestic/international travel, meetings, and confidential correspondence.
- Support Board of Directors meetings, including agendas, presentations, talking points, briefing materials, and meeting logistics.
- Prepare and proofread executive presentations, reports, correspondence, and governance materials.
- Coordinate with senior executives, Board members, legal teams, regulators, and external stakeholders.
- Support corporate governance and regulatory matters, including interactions involving agencies such as FINRA, SEC, and other financial regulators.
- Assist with Board elections, governance documentation, Board portals, records management, and special executive projects.
- Manage expenses, invoices, vendor agreements, subscriptions, and other departmental administrative functions.
- Exercise exceptional judgment, discretion, confidentiality, and proactive problem-solving in a fast-paced environment.
Required Qualifications:
- 10–15 years of senior-level executive administrative experience, preferably within banking, financial services, or another highly regulated institution.
- Proven experience supporting C-Suite executives and/or senior leadership.
- Hands-on experience supporting Board meetings, agendas, presentations, and governance activities.
- Experience working with regulatory/government entities; familiarity with FINRA, SEC, or similar financial regulators strongly preferred.
- Exceptional communication, organization, calendar management, prioritization, and relationship-management skills.
- Strong Microsoft Office/Outlook skills and ability to handle confidential information with discretion.
- Notary Public license preferred.
- Ability to work effectively with Board members, executives, clients, regulators, and other senior stakeholders.
