We are seeking a detail-oriented and organized Document Control Specialist to support our international registration and compliance processes. This role plays a key part in managing regulatory documentation, ensuring timely submissions, and maintaining compliance with international customer requirements. The ideal candidate will be bilingual (English/Spanish), have strong administrative and communication skills, and thrive in a fast-paced environment.

Location: Miramar, FL
Schedule: Monday to Friday, 8:30 AM – 5:00 PM
Compensation: $19–$22 per hour (based on experience)

Qualifications

  • Bachelor’s degree preferred.

  • 1–3 years of experience in document control, regulatory, or administrative support roles (preferred).

  • Bilingual in English and Spanish (required).

  • Proficient in Microsoft Word and Excel with strong computer and data entry skills.

  • Excellent communication and customer service skills.

  • Highly detail-oriented and organized with the ability to manage multiple tasks and deadlines.

Key Responsibilities

  • Prepare and compile documentation for international customer product dossiers in accordance with registration requirements.

  • Organize and ship documentation and product samples required for regulatory registration.

  • Request regulatory documents from U.S. government agencies, including FDA certificates, Free Sale Certificates, GMP documentation (Department of Agriculture), and BSE/Veterinary Certificates (USDA).

  • Submit documents for authentication with the Secretary of State and embassies as needed.

  • Enter and maintain accurate customer and product information in internal and external databases.

  • Track and manage all outgoing documents and product samples, ensuring proper filing and up-to-date recordkeeping.

  • Maintain logs of product registrations, registration history, customer requirements by country, and related expenses.

  • Communicate directly with customers and internal sales teams to provide updates and ensure all registration needs are met.

  • Suggest improvements to SOPs and workflows when applicable.

  • Perform additional administrative duties as assigned by the supervisor.
