This position is critical to the ministry of Sky Ranch and contributes directly to our mission of leading youth and families to know and follow Christ. The Guest Services Scholarship Coordinator serves as a key member of the Guest Services team, providing exceptional support to families throughout the registration process while ensuring an outstanding guest experience. This role is responsible for managing scholarship applications, coordinating committee reviews, and disbursing scholarship funds in accordance with established eligibility guidelines. As the primary point of contact for TRU Camp communications and registrations, this position ensures timely, accurate communication and a seamless registration experience for campers and their families.

In addition to scholarship administration, this position plays an integral role in the daily operations of Guest Services by managing waitlists, processing balance dues, administering special discounts, and resolving registration questions and account issues. This role partners closely with internal departments to ensure registration accuracy, maximize camp occupancy, and provide timely solutions that exceed guest expectations.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Manage and promote the annual Sky Ranch Scholarship Program, including applications, communication, eligibility review, and award distribution.
  • Serve as the primary contact for scholarship applicants and TRU Camp partners, ensuring a smooth registration experience.
  • Maintain accurate scholarship and registration records while providing year-over-year reporting.
  • Facilitate and support the scholarship committee process, including communication and documentation.
  • Monitor camp attendance and availability to maximize scholarship opportunities.
  • Administer Board Member and Staff Discount programs in alignment with established guidelines.
  • Coordinate Rodeo Scholarships in partnership with the Director of Equine Ministries.
  • Support Guest Services operations through waitlist management, balance dues, cabinmate requests, discounts, and guest account assistance.
  • Actively monitor and manage waitlists daily to fill openings as they become available.
  • Ensure registrations remain on active payment plans, helping maintain healthy cash flow.
  • Support the overall Guest Service department initiatives and assist with additional projects and responsibilities as assigned to meet departmental and organizational needs.

QUALIFICATIONS:
EDUCATION
  • Bachelor’s degree or equivalent experience in customer service.
EXPERIENCE
  • Minimum of one year of business experience, or equivalent Sky Ranch Camper knowledge, preferably in a call center or camping environment.
KNOWLEDGE
  • Knowledge of principles and processes for providing excellent customer service. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Proficient working knowledge and ability to use various office software including, but not limited to, Microsoft Word, Excel, Outlook.
  • Basic internet skills.

PHYSICAL DEMANDS
  • No or very limited physical effort required. Ability to use up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently to move objects.
  • Ability to grasp, push, pull, carry, or otherwise manipulate objects; ability to perform tasks requiring action of muscles or groups of muscles and foot and/or hand-eye coordination.
WORK ENVIRONMENT
  • Works indoors in normal office environment majority of the time.
  • Ability to travel to various geographic locations, including travel by car, and some overnight stays, including weekends.
