Job Title: Nursing Scheduler / Staffing Coordinator

Position Overview

We are seeking an organized and detail-oriented Nursing Scheduler to serve as the logistical backbone of our nursing department. You will collaborate with healthcare leadership to ensure every shift is adequately staffed with the correct provider types to guarantee optimal patient care and compliance with state and federal regulations.

Key Responsibilities

1. Schedule Creation & Maintenance

  • Build and publish comprehensive, advance schedules for RNs, LPNs, and CNAs while accommodating full-time, part-time, and per diem staff.

  • Review and process employee requests for time off, shift swaps, and leaves of absence in a timely manner.

  • Ensure schedules are balanced to avoid excessive staff burnout and minimize unnecessary overtime costs.

2. Shift Management & Coverage

  • Proactively identify staffing gaps or open shifts due to call-outs, no-shows, or increased patient census.

  • Reach out to and deploy on-call, PRN, or partnering staffing agency nurses to cover shortages immediately.

  • Maintain accurate records of attendance, tardiness, and call-outs to assist management with employee performance reviews.

3. Compliance & Administration

  • Ensure daily staffing levels meet strict minimum state and federal long-term care regulations.

  • Verify and reconcile time-clock and time-punch records against scheduled hours to ensure accurate payroll processing.

  • Maintain compliance with facility policies, labor laws, and confidentiality requirements (HIPAA).

4. Communication

  • Act as the primary point of contact for nursing staff regarding their schedules.

  • Maintain deep, meaningful relationships with floor staff to effectively communicate, fill shifts, and reduce scheduling-related friction.

Qualifications & Requirements

  • Education: High school diploma or equivalent required.

  • Experience: Minimum of 1-2 years of administrative, scheduling, or staffing experience, preferably in a skilled nursing facility, long-term care, or clinical setting.

  • Technical Skills: Proficiency with scheduling software SBV and basic MS Office & Excel applications.

  • Soft Skills: Exceptional problem-solving abilities, high-pressure crisis management, tact, and strong interpersonal communication skills.

  • Physical & Emotional Resilience: Ability to handle the mental stress of a fast-paced environment and occasional on-call duties.
