At Network for Hope (NFH), the Family Aftercare Coordinator is responsible for administration of the Family Aftercare Program. Working independently, the Coordinator diligently provides all prescribed written interactions with donor families and other partners, including outcome letters, milestone correspondence, and mailed support pieces. The Coordinator handles the receipt and processing of donor family and recipient correspondence and obtains all recipient update requests. The Coordinator ensures team members receive requests to respond to donor families in a timely manner. This position is essential in ensuring that Network for Hope maintains a professional and compassionate image, ultimately affecting public trust.Key ResponsibilitiesAftercare Program CommunicationsProvides and ensures consistent monthly Aftercare communications by coordinating the following process for all donor families (organ, tissue, eye):Working with transplant centers and tissue teams, generate and send Organ & Tissue outcome letters to donor families.Provides initial Gift of Sight authorization letter to donor families.Organ & Tissue outcome letters to key partners, including funeral homes, hospitals, coroners, etc.Initial introduction with grief information and support resources.3-month support letter with focus of online support resources.6-month letter with engagement and opportunities to honor activities.9-month grief resource booklet.12-month card.15-month letter highlighting memorials and their locations, ongoing support, and survey.Provides and ensures consistent monthly Aftercare communications by coordinating the following process for all families in the Donor in Spirit Program:Initial grief packet and letter one week following the death.Memento and card sent at one month.3-month support letter with focus of online support resources.6-month letter with engagement and opportunities to honor activities.9-month grief resource booklet.12-month card.15-month letter highlighting memorials and their locations, ongoing support, and survey.Maintains updated contact information for all donor families, including returned mail and contacting families for additional information.Maintains the Aftercare and Donor in Spirit text drip campaigns.Handles receipt of and obtains all recipient update requests, when needed.Enters and maintains electronic documentation of all aftercare activities and records.Aftercare Projects & Events CoordinationMonitors Aftercare supply inventory and notifies the Family Aftercare Manager when reorders of aftercare supplies are needed.Assists with all special events, including annual donor memorial services and other donor family events, as needed.Other DutiesIdentifies and develops relationships with key transplant center staff.Develops and maintains collaborative working relationships with the Network for Hope Community Relations Department, including Community Relations staff meetings, retreats, etc.Provides administrative assistance for Philanthropy and Community Relations department efforts, as needs arise.Prepares and provides reports within a timely manner, as directed.QualificationsEducation: Associate degree in business or related field or equivalent experience as an administrative assistant required.Experience: 3-5 years of Administrative Assistant experience preferred. Proficiency in writing, computer, and organizational skills is required. Must be extremely detail oriented and organized. Must be skilled in verbal communication.
