Job Title: Shipping Coordinator

Contract position

Job Description

The Shipping Coordinator oversees the end-to-end logistics and documentation for booth deliveries, working closely with customers, shipping carriers, sales, field service, and installers to ensure accurate, timely shipments and smooth installation scheduling.

Responsibilities

  • Coordinate logistics for booth deliveries with customers and shipping companies, ensuring on-time and accurate shipments.
  • Communicate regularly with customers to provide delivery status updates and troubleshoot issues, including situations where rooms or installation sites are not ready.
  • Work in Microsoft Office and CRM systems to manage communications, documentation, and shipment records.
  • Collaborate with the field service team to confirm when customers are ready for installation and to schedule install activities.
  • Handle purchase orders and work directly with carriers such as UPS, FedEx, R&L, and other third-party shipping providers.
  • Update, track, and confirm shipment details, including when products are shipped and delivered.
  • Partner with the sales team to ensure timely completion of all pre-shipment activities and customer requirements.
  • Coordinate domestic shipments with shipping companies, ensuring proper routing and carrier selection.
  • Manage the installation process by coordinating with customers, installers, and sales to align delivery and installation timelines.
  • Prepare accurate and complete shipping documents and records for all outgoing shipments.
  • Perform data entry and clerical tasks related to shipping, receiving, and logistics documentation.
  • Maintain organized records in ERP and CRM systems to support visibility, reporting, and follow-up on shipments.

Essential Skills

  • Previous logistics and shipping experience, including coordinating shipments and working with carriers.
  • Strong documentation skills with attention to detail in preparing and maintaining shipping records.
  • Proficiency in Microsoft Office, specifically email and Excel, for communication, tracking, and reporting.
  • Experience working in an ERP system to manage orders, inventory, and shipment information.
  • Prior customer service experience in a customer-facing or shipping-related capacity.
  • Ability to perform accurate data entry and clerical tasks in a fast-paced logistics environment.

Additional Skills & Qualifications

  • Experience as a logistics coordinator or in a similar role involving shipping and receiving.
  • Familiarity with CRM systems for managing customer interactions and shipment updates.
  • Comfort working with multiple carriers, including UPS, FedEx, R&L, and third-party freight providers.
  • Strong communication skills for coordinating among customers, sales, field service, and installers.
  • Organizational skills to manage multiple shipments, timelines, and documentation simultaneously.

Work Environment

This role is based in a third warehouse location in an office-type environment within a larger production and logistics operation. The position involves working primarily at a desk using Microsoft Office, ERP, and CRM systems to manage shipping activities and documentation. The environment is structured and fast-paced, focused on coordinating domestic shipments and installations across the country. The setting supports collaboration with sales, field service, and logistics teams, and provides access to demo booths related to spray tan and skin care products.

This is a Contract position based out of Macedonia, OH.

Pay and Benefits

The pay range for this position is $22.00 - $24.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
