Position Overview:

The HR Compliance Specialist plays a critical role in supporting client staffing success by partnering closely with the Recruiting and Operations teams to ensure candidates are efficiently transitioned from selection to successful onboarding.

This position owns the end-to-end onboarding process for DOT and non-DOT employees while ensuring compliance with DOT, FAA, E-Verify, I-9, company policies, and applicable regulatory requirements. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced staffing environment where accuracy, urgency, and candidate experience are essential.

This role serves as a key connection point between recruiting, operations, and new hires, helping ensure client staffing goals are achieved while delivering a professional and positive onboarding experience.

Key Responsibilities

Recruiting & Onboarding Partnership

  • Partner closely with the Recruiting team to support client staffing goals, hiring timelines, and candidate onboarding requirements
  • Manage the transition of candidates from offer acceptance through successful onboarding and start date readiness
  • Communicate onboarding progress, identify potential delays, and collaborate with internal teams to resolve issues quickly
  • Provide an exceptional candidate and new hire experience through clear communication and guidance

Compliance & Documentation Management

  • Manage the full-cycle onboarding process for DOT and non-DOT employees
  • Complete and maintain accurate Form I-9 documentation and E-Verify processing within required timelines
  • Conduct employment verifications and DOT compliance verifications through phone, email, and fax
  • Coordinate and monitor pre-employment requirements, including:
    • Drug and alcohol screenings
    • Background checks
    • Employment verifications
    • DOT-required compliance documentation
  • Maintain audit-ready employee onboarding records, ensuring documentation is complete, accurate, and properly maintained
  • Ensure confidential employee information is handled appropriately and in accordance with company policies and legal requirements

HR Operations Support

  • Maintain accurate digital and physical employee files
  • Support HR and Operations teams with onboarding-related administrative needs
  • Assist with process improvements to increase onboarding efficiency and improve the overall employee experience
  • Participate in special projects and additional HR initiatives as needed

Success in This Role Looks Like

  • New hires are onboarded accurately and efficiently to support client staffing needs
  • I-9 and E-Verify requirements are completed timely and accurately
  • Employee files remain organized, compliant, and audit-ready
  • Strong communication and partnership exists between Recruiting, HR, Operations, and new hires
  • Onboarding processes continue to improve through attention to detail and problem-solving

Required Qualifications

  • Bilingual in English and Spanish (written and verbal)
  • 2+ years of experience in onboarding, recruiting coordination, HR, or staffing operations
  • Experience supporting high-volume hiring and onboarding environments
  • Experience with I-9 and E-Verify processes preferred
  • Strong organizational skills with excellent attention to detail
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to maintain confidentiality and handle sensitive information professionally

Preferred Qualifications

  • Staffing agency experience
  • Experience onboarding DOT safety-sensitive employees
  • Knowledge of DOT and FAA regulations
  • Experience maintaining compliance documentation and supporting audits
