Patient Coordinator

Hudson Spine and Health
Hudson, WI, US Full Time
18USD - 25USD per hour

Job Description

Job Description

We're hiring one full-time Patient Coordinator to own the front desk and support the treatment floor. This is a people job first: patients come in stiff, tired, skeptical, or in pain, and the difference between a good day and a bad one at our clinic is usually whoever is standing at the front desk.

You'll be trained and paid from day one. Your first 30 days are hands-on training alongside our current front desk lead, followed by a performance review that sets your ongoing full-time rate.

Front desk (the core of the job)

  • Greet and check in patients; keep the flow moving so doctors stay on schedule
  • Answer and return phone calls, texts, and online inquiries
  • Schedule, confirm, and reschedule appointments across both clinics
  • Collect payments, process membership billing, and handle end-of-day close
  • Gather new-patient paperwork and verify insurance information
  • Keep the front and lobby clean, stocked, and looking the way a health clinic should

Treatment floor support

  • Set up and run supportive therapy equipment (red light, compression, and similar) after full in-house training — no prior experience required
  • Turn over rooms between patients and keep equipment clean and stocked
  • Assist doctors and therapists with patient flow during busy blocks

Patient care and retention

  • Answer patient questions about services and membership options accurately and without pressure
  • Rebook patients before they leave and follow up on missed appointments
  • Support new-patient onboarding so people actually understand their care plan

Sales is not the center of this job, but you should be comfortable explaining what we offer and confident enough to answer "how much does that cost?" without flinching.

What We're Looking For

Required

  • High school diploma or equivalent
  • Comfortable with computers and willing to learn our scheduling and billing software
  • Reliable, on time, and able to commit to a consistent 5-day weekly schedule
  • Clear phone and in-person communication
  • Able to stay organized and pleasant when the lobby is full and the phone is ringing

Nice to have (not required — we train)

  • Front desk experience in a medical, dental, chiropractic, med spa, or fitness setting
  • Familiarity with insurance verification or membership-based billing
  • Experience with recurring-billing or point-of-sale systems

Who does well here

  • People who genuinely like people, including the difficult ones
  • Self-starters who see what needs doing and do it without being asked
  • Anyone who's worked a busy service job and knows how to hold it together during a rush
