The Role

Hi! We’re Audrey and Andrew Hansen! We’re a husband-and-wife entrepreneurial team building a growing family of businesses across construction, development, real estate, and luxury outdoor living—and we’re looking for an exceptional, multifaceted person to become our right hand.

This is not a traditional sit-at-a-desk-and-wait-for-instructions assistant position.

One hour you may be organizing calendars and paying bills. The next, you’re following up with a subcontractor, helping prepare for a meeting, filming content at a jobsite, ordering something the office needs, or figuring out a better system for something we’ve been doing inefficiently.

We need someone who genuinely enjoys making things happen and is not easily overwhelmed.

You don't have to come in knowing every part of the job. We care far more about intelligence, initiative, organization, personality, and your ability to figure things out.

You might be our person if:

  • Your calendar is color-coded—and probably aesthetically pleasing.

What You'll Own

Executive & Administrative Support

You'll help keep both the executives and the office organized and operating smoothly.

Responsibilities may include:

  • Managing calendars for Andrew, Audrey, and Greg
  • Scheduling and confirming meetings, appointments, calls, and events
  • Coordinating meetings with clients, vendors, subcontractors, executives, and strategic partners
  • Answering and routing business phone calls
  • Managing occasional travel arrangements and reservations
  • Preparing meeting agendas, notes, and follow-up items
  • Creative ideas for client gifts or appreciation events
  • Tracking important dates, deadlines, renewals, appointments, and commitments
  • Helping manage documents, files, contracts, receipts, and records
  • Handling mail and packages
  • Keeping the office clean, organized, stocked, and functional
  • Monitoring office supplies and ordering items before they run out
  • Ordering equipment, materials, gifts, lunches, or miscellaneous business needs
  • Coordinating office maintenance, cleaners, vendors, and service appointments
  • Helping organize company events, dinners, meetings, and team activities
  • Handling miscellaneous errands and executive support as needed
  • Serving as a reliable point of contact for many of our subcontractors, vendors, and business relationships

The goal is simple: if something needs to happen to keep the office or executives running smoothly, you either handle it or make sure the right person does.


Bills, Bookkeeping & Financial Administration

We have professional bookkeeping support, but Audrey stays closely involved with the financial side of the businesses on a daily basis. You'll help keep the administrative side organized.

This may include:

  • Monitoring bills and due dates
  • Ensuring recurring bills and subscriptions are paid on time
  • Organizing invoices and receipts
  • Assisting with accounts payable and accounts receivable
  • Following up on outstanding invoices when necessary
  • Categorizing transactions in QuickBooks
  • Maintaining organized financial records for the bookkeeper
  • Helping monitor recurring subscriptions and expenses
  • Communicating with vendors regarding invoices or payment questions
  • Flagging unusual charges, missing invoices, or upcoming expenses

You don't need to be an accountant. You do need to be comfortable with numbers, organized, trustworthy, and willing to learn.

Email & Communication Management

Our inboxes move quickly, and this person will help make sure important communication doesn't disappear into the abyss.

You'll help:

  • Monitor and organize multiple business email inboxes
  • Categorize and prioritize incoming messages
  • Identify what needs immediate attention versus what can wait
  • Draft routine responses and follow-up emails
  • Coordinate scheduling through email
  • Follow up when someone owes us an answer, document, proposal, payment, or deliverable
  • Maintain organized inbox systems
  • Flag important communications for Andrew and Audrey
  • Help ensure important messages are acknowledged and answered

A major measure of success in this role is that we shouldn't have to remember to remind you to follow up.


Project & Task Management

There are constantly dozens of moving pieces across our companies. You'll help create visibility and accountability around them.

You'll:

  • Maintain master task lists and project dashboards
  • Track action items across multiple businesses
  • Assign or communicate deadlines when appropriate
  • Follow up with employees, vendors, subcontractors, clients, and partners
  • Provide Andrew and Audrey with concise status updates
  • Keep meeting action items moving after the meeting ends
  • Help build and improve repeatable workflows
  • Identify tasks that can be automated, delegated, or eliminated
  • Document processes as we develop better systems
  • Help implement new software, tools, and organizational systems

We don't expect you to personally do everything.

In fact, we're open to providing you with a virtual assistant or additional outsourced support for repetitive administrative work. Part of growing in this role will be learning what should be automated or delegated—and then managing those resources effectively.



Social Media, Marketing & Content

This is where this position is different from a traditional Executive Assistant role.

We're actively building both our businesses and the brands around them, and we want someone who is excited to help document that journey.

You'll help manage and create content for our founder/lifestyle accounts as well as Hansen Crafted Outdoors.

Accounts: There are 2 accounts to manage: Audrey and Andrews account (IG: @AudreyHensonFL TIKTOK @HardhatsandHansens) and @HansenCraftedOutdoors

That includes:

  • Helping develop a weekly and monthly content calendar
  • Brainstorming Reels, TikToks, stories, posts, and recurring content series
  • Filming Andrew and Audrey in the office, at projects, at jobsites, and during day-to-day business life
  • Capturing behind-the-scenes content from our construction and outdoor-living projects
  • Turning everyday moments into usable social content
  • Editing short-form video for Instagram Reels and TikTok
  • Writing and refining captions
  • Posting and scheduling content
  • Managing Instagram Stories
  • Monitoring comments, DMs, and engagement
  • Engaging appropriately with followers and other accounts
  • Staying current on trends, sounds, formats, hooks, and platform changes
  • Helping identify content opportunities before we even think to ask
  • Organizing photos and video into an easy-to-use content library
  • Coordinating professional photography or videography when needed
  • Helping showcase completed projects, before-and-afters, jobsites, employees, company milestones, and founder life
  • Repurposing content across Instagram, TikTok, Facebook, LinkedIn, and eventually YouTube
  • Helping track which content performs well and using that information to improve future content
  • Supporting basic email marketing and other marketing initiatives
  • Helping maintain consistent branding across the companies
  • Occasionally attending events, projects, dinners, or other activities specifically to capture content

You don't need to be a professional videographer.

We want someone who understands social media, has a good eye, isn't afraid to pull out a phone and start filming, and can recognize when something happening in front of them would make great content.

Being comfortable occasionally appearing in our content is a plus, but it isn't the primary job.

Where this can grow

We're planning to expand significantly into long-form content, including a podcast and YouTube channel.

As we automate and outsource more administrative responsibilities, this position has the potential to evolve toward content, marketing, brand management, operations—or whatever area you prove exceptionally good at.

We don't believe every great employee needs to fit permanently into one predetermined box.

We like building roles around talented people.



The Environment

We're entrepreneurs. Our businesses move quickly, and our office reflects that.

Some days are structured. Other days, the plan changes by 10:00 a.m.

We're a close-knit team primarily in our 30s. There's usually music, a podcast, the news, or a show playing somewhere in the background. We joke around, communicate directly, and don't take ourselves too seriously.

Our backgrounds include business, construction, entrepreneurship, nonprofit leadership, and politics, so conversations around the office can cover just about anything.

We also genuinely like the people we work with. Team dinners, restaurants, comedy shows, karaoke, celebrations, and hanging out outside of the office aren't unusual.

You don't need to have the same personality or opinions as everyone else.

You do need to be comfortable working around strong personalities, candid conversations, different viewpoints, a little chaos, and people who move quickly.

We're looking for someone professional enough to represent our companies well but relaxed enough to feel at home in an entrepreneurial small-business environment.

  • Have experience in construction, real estate, hospitality, marketing, or small-business operations
  • Have worked directly with founders or entrepreneurs
  • Have basic QuickBooks or bookkeeping experience
  • Understand Google Workspace, Slack, CRMs, and project-management software
  • Know your way around Canva and basic video-editing tools
  • Actually enjoy Instagram and TikTok
  • Understand current social media trends
  • Have strong writing and customer-service skills
  • Are comfortable taking photos and videos
  • Are interested in business ownership, entrepreneurship, construction, real estate, or marketing
