We are looking for a proactive Executive Assistant to join a wealth management firm in Carmel, California in a Contract to permanent capacity. This part-time opportunity supports a group of senior leaders with a mix of administrative coordination, operational follow-through, and day-to-day office support in an experienced, fast-paced environment. The role is best suited for someone who is highly organized, communicates clearly, and brings a strong sense of accountability when handling both routine and higher-priority tasks. This position offers the chance to contribute closely to a small in-office setting while helping keep processes consistent and well organized.
Responsibilities:
• Provide administrative support to a team of seven leaders across multiple locations, ensuring tasks are completed accurately and on time.
• Manage a combination of routine office duties and more advanced coordination work, adjusting priorities based on business needs.
• Create, maintain, and improve checklists and process documents that help establish clear expectations for employees and support operational consistency.
• Serve as a dependable point of contact for internal stakeholders by responding clearly and delivering strong customer service in daily interactions.
• Track details carefully across assignments, documents, and follow-up items to reduce errors and keep work moving efficiently.
• Assist with office-based coordination in a small, high-end workplace setting and contribute to a detail-focused, collaborative atmosphere.
• Use Excel and other digital tools to organize information, maintain records, and support administrative reporting needs.
• Partner closely with leadership and team members to provide in-person support for East Coast executives and other business functions as needed.• At least 2 years of experience in an executive assistant, administrative support, or similar business support role.
• Strong attention to detail with the ability to manage multiple priorities while maintaining accuracy.
• Excellent verbal and written communication skills with a detail-oriented and service-oriented approach.
• Proficiency with Microsoft Excel and confidence learning and using workplace technology.
• Ability to work effectively in a fast-paced office environment with high standards and strong personalities.
• Demonstrated reliability, consistency, and a strong work ethic in an onsite setting.
• Previous experience in financial services is preferred.
• Bachelor’s degree preferred.
