We are looking for a detail-oriented Facilities Manager to join a team in Charlotte, North Carolina on a Contract basis. In this role, you will focus on vendor oversight, compliance coordination, and administrative accuracy to help keep facility-related operations organized and current. This position is well suited for someone who is comfortable managing large volumes of documentation, following through on outstanding items, and supporting internal stakeholders with reliable reporting and record maintenance.
Responsibilities:
• Oversee vendor records and conduct routine reviews to confirm required documents are complete, accurate, and current.
• Monitor compliance items such as agreements, insurance documentation, licenses, and certifications, and escalate gaps when needed.
• Enter and maintain high volumes of information in internal systems and spreadsheets with a strong focus on data accuracy.
• Reach out to vendors to obtain missing paperwork, clarify discrepancies, and support timely resolution of compliance issues.
• Prepare status reports and provide updates to internal teams regarding documentation progress, exceptions, and outstanding requirements.
• Evaluate submitted materials against company standards and policies to ensure consistency and proper documentation control.
• Coordinate onboarding activities for new vendors by collecting, organizing, and processing all required administrative forms.
• Assist with administrative initiatives and recommend process improvements that strengthen recordkeeping and compliance workflows.• Experience supporting vendor management, compliance administration, facilities coordination, or a related operational function.
• Strong attention to detail with the ability to maintain precise records and review documentation thoroughly.
• Proven ability to work independently, manage priorities, and follow through on multiple deadlines in a fast-paced environment.
• Proficiency with Microsoft Excel, Outlook, and database or document management systems.
• Effective written and verbal communication skills for coordinating with vendors and internal stakeholders.
• Background in data entry, audit support, contract compliance, or document tracking.
• Solid organizational skills with the ability to manage large volumes of information efficiently.
