Staff Accountant
Job Description
We are looking for a Staff Accountant to join a fast-moving team in California on a contract basis. This position will contribute to core accounting activities, with emphasis on payables, receivables, cash balancing, and general accounting. The ideal candidate is comfortable working in a high-volume environment, maintains accurate records, and partners effectively with internal stakeholders to keep accounting operations running smoothly.
Responsibilities:
• Manage the full vendor invoice cycle by reviewing, entering, and processing payables accurately within QuickBooks Online.
• Coordinate outgoing payments through checks, ACH, and wire transfers while maintaining proper supporting records.
• Compare supplier statements against internal records, research variances, and resolve payment-related issues promptly.
• Oversee collection efforts on outstanding customer balances and communicate with customers to address billing questions or past-due accounts.
• Reconcile incoming cash activity from multiple sales channels, including direct website transactions and marketplace settlements.
• Analyze differences among sales data, processor deposits, and bank transactions to identify and correct discrepancies.
• Contribute to month-end close by preparing reconciliations and supporting schedules for accounts related to cash, payables, receivables, and the balance sheet.
• Produce financial reports and assist with special analysis requests to support business decision-making and cash flow visibility.
• Maintain organized accounting documentation and provide audit support by gathering schedules, records, and backup as needed.
• Use advanced Excel tools to perform reconciliations, summarize data, and improve reporting accuracy and efficiency.
• Bachelor’s degree in Accounting or Finance is required.
• At least 3 years of experience in accounting, with exposure to accounts payable, accounts receivable, and general ledger support.
• Practical experience using QuickBooks Online is strongly preferred.
• Strong Microsoft Excel skills, including functions such as lookups and pivot tables.
• Ability to reconcile high-volume cash activity and investigate differences across bank records, sales platforms, and internal reports.
• Experience supporting e-commerce or marketplace transaction accounting, including platforms such as Amazon or company web sales, is a plus.
• Clear written and verbal communication skills with the ability to work independently and collaborate with leadership and cross-functional teams.
• High attention to detail, strong organization, and the ability to manage deadlines in a fast-paced environment.
