Property Services Coordinator
Contract Length: 2–3 months
Pay Rate: $20.00–$25.00/hour, DOE

Position Summary
The Property Services Coordinator provides administrative and operational support to ensure the efficient day-to-day operation of the management office and commercial property. This position works closely with tenants, vendors, contractors, and property management to support tenant relations, property operations, and administrative functions.
Key Responsibilities
- Serve as the primary point of contact for incoming calls and visitors; greet tenants, vendors, and third parties professionally.
- Build and maintain positive relationships with tenants, vendors, contractors, and guests.
- Receive, open, and distribute incoming mail and manage outgoing correspondence and mailings.
- Schedule meetings, events, common-area use, conference rooms, and other property activities.
- Create and route work order requests received by phone or email to the appropriate personnel.
- Maintain accurate on-site property records in accordance with company policies and procedures.
- Maintain Certificates of Insurance (COIs) for tenants and vendors and manage tenant and vendor files.
- Serve as the day-to-day liaison with tenants, construction contractors, security services, cleaning contractors, vendors, and other third parties.
- Communicate routine property needs, respond to requests, and escalate significant issues to management as appropriate.
- Support Property Management with tenant relations, public relations, and tenant satisfaction initiatives.
- Assist with tenant move-ins/move-outs, lease executions and terminations, tenant signage, and other tenant-related activities.
- Assist with annual budget preparation, variance analysis, reporting, and related administrative functions.
- Monitor office supplies, postage, stationery, and other materials; place orders as needed while staying within budget guidelines.
Qualifications
- High school diploma or equivalent combination of education and experience.
- 1–2 years of commercial real estate experience, preferably in an office property environment, strongly preferred.
- Strong organizational, verbal, and written communication skills.
- Knowledge of policies and procedures related to commercial property management, including property operations, leasing, development, construction, and safety regulations.
- Ability to multitask, prioritize responsibilities, and work effectively in a fast-paced environment.
- Proficiency with Microsoft Office, including Excel, Word, PowerPoint, and Outlook.
- Familiarity with MRI or a similar property management software platform.
- Familiarity with Angus or a similar work order/facilities management platform.
