We are looking for an Executive Assistant to provide high-level support to senior leadership for a Long-term Contract assignment in Washington, District of Columbia. This opportunity is within the non-profit sector and is ideal for someone who excels at keeping complex schedules organized, coordinating logistics, and maintaining smooth day-to-day executive operations. The role requires sound judgment, strong communication skills, and the ability to manage sensitive matters while working effectively with internal teams and external partners.
Responsibilities:
• Oversee dynamic executive calendars, prioritizing appointments and helping maintain alignment across leadership schedules as needed.
• Serve as a detail-oriented point of contact for staff, partners, and industry stakeholders, ensuring timely and effective communication on behalf of senior executives.
• Arrange meeting logistics for office-based discussions and team events, including materials preparation, room coordination, and catering support.
• Handle domestic and occasional international travel planning for executives, ensuring itineraries and related logistics are accurate and well organized.
• Prepare and submit expense reports with careful attention to deadlines, policy compliance, and documentation accuracy.
• Support administrative operations by ordering supplies, maintaining organized records, monitoring departmental spending, and processing invoices.
• Provide coverage for other administrative team members when needed to help maintain continuity of support.
• Assist with special assignments and additional administrative projects based on departmental priorities.• Demonstrated experience supporting senior executives in a fast-paced, detail-focused environment.
• Strong written and verbal communication skills, with the ability to present information clearly and effectively.
• Solid knowledge of administrative practices, record maintenance, and office support procedures.
• Ability to handle confidential information with discretion while balancing multiple competing priorities.
• A self-directed and resourceful approach, with good judgment and a proactive mindset for identifying solutions.
• Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
• Experience using Concur or comparable tools for travel booking, expense management, and invoicing.
