Job Description
The Office Administrator plays a key role in supporting daily business operations and partnering closely with company leadership, including the CEO and CFO. This position is ideal for an early-career professional who is highly organized, proactive, and motivated to learn how a successful and growing business operates. The role offers a clear development path into positions such as Office Manager, Executive Business Partner, Operations Manager, or Chief of Staff as the organization continues to expand.
Responsibilities
- Provide comprehensive administrative support to the CEO, CFO, and leadership team, ensuring they are well-prepared and organized for daily activities.
- Manage calendars for executives, including scheduling meetings, coordinating appointments, and resolving conflicts in a timely manner.
- Coordinate travel arrangements and itineraries for leadership, including flights, accommodations, transportation, and related logistics.
- Track and organize expenses for leadership, ensuring accurate documentation and timely submission of reports.
- Prepare professional presentations, reports, spreadsheets, and other business documents using Microsoft Office tools.
- Organize and maintain both digital and physical filing systems to ensure information is accessible, secure, and up to date.
- Assist with internal communications and company announcements to keep employees informed and engaged.
- Coordinate office operations, including ordering and managing supplies, working with vendors, and addressing facilities-related needs.
- Help plan and execute company meetings, events, and employee engagement activities, ensuring smooth logistics and a positive experience for participants.
- Support cross-functional projects and strategic initiatives by assisting with coordination, documentation, and follow-up.
- Track action items arising from meetings and discussions, and follow up on key deliverables for leadership to ensure timely completion.
- Greet visitors in a professional and welcoming manner, serving as a positive representative of the company.
- Identify opportunities to improve administrative processes and organizational efficiency, and propose practical solutions.
- Provide general clerical and office management support as needed to ensure smooth day-to-day operations.
Essential Skills
- 1–3 years of administrative, office support, customer service, or related experience.
- Strong organizational and multitasking abilities, with the ability to manage multiple priorities simultaneously.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint.
- Ability to prioritize tasks and adapt effectively in a fast-paced environment.
- Strong attention to detail and follow-through on assignments and commitments.
- High level of professionalism, discretion, and ability to maintain confidentiality.
- Positive attitude, strong work ethic, and willingness to learn new skills.
- Demonstrated ability to provide administrative assistance and clerical support.

- Strong general office management capabilities.

Job Type & LocationThis is a Contract to Hire position based out of South San Francisco, CA.
Pay and BenefitsThe pay range for this position is $22.00 - $26.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
