We are looking for an organized Administrative Assistant to support a community association in Bowie, Maryland through a Contract assignment. This position focuses on property compliance coordination, documentation, and resident communication while ensuring records remain accurate and up to date. The role is well suited to someone who is comfortable handling administrative tasks, tracking multiple deadlines, and interacting professionally with homeowners.
Responsibilities:
• Inspect community properties to identify upkeep, landscaping, safety, and covenant-related issues that require follow-up.
• Maintain detailed records of compliance matters, including deadlines, status updates, and next steps for resolution.
• Perform return visits to verify whether concerns have been corrected and capture photographic documentation when needed.
• Review and track county service requests, including 311-related items, and update logs with current activity.
• Draft and distribute notices related to property compliance while keeping associated files organized and complete.
• Scan, file, and manage Architectural Review Board application materials to support efficient recordkeeping.
• Respond to homeowner questions and concerns with professionalism, clarity, and courtesy.
• Provide general administrative support such as data entry, inbound call handling, and front-office coordination as needed.• Experience in administrative support, office coordination, or a similar clerical role.
• Strong attention to detail with the ability to maintain accurate records and documentation.
• Comfortable managing data entry tasks and organizing both digital and paper files.
• Clear communication skills for handling resident inquiries in person and over the phone.
• Ability to monitor deadlines, prioritize follow-up actions, and manage multiple tasks effectively.
• Proficiency with standard office systems and general administrative procedures.
• Capability to work independently in a Monday through Friday schedule while maintaining consistent follow-through.
