Window World Twin Ports Region is looking for a dependable, highly organized Materials Coordinator to help keep our installation operation running smoothly.

The primary responsibility of this position is simple:

Make sure everything needed for an installation is here, correct, organized, and ready to go when the installer arrives.

You will not be responsible for determining what products or materials a job requires. That information will be provided to you. Your responsibility is to take that information and make sure everything on the list is ordered, tracked, received, accounted for, and ready before installation.

This is an entry-level position, and previous experience in the window, door, or construction industry is not required. We can teach you our products, suppliers, and processes. What we need is someone who is naturally organized, pays close attention to details, communicates well verbally, takes thorough notes, and can keep track of multiple things at the same time.

Key Responsibilities:

  • Order windows and doors according to the information and specifications provided for each job.
  • Order additional job materials from provided material lists, including lumber, trim pieces, coil, caulk, insulation, fasteners, and other installation supplies.
  • Track orders and expected delivery dates to ensure materials arrive when needed.
  • Receive and unload trucks delivering windows, doors, and other supplies.
  • Verify incoming products and materials against orders to make sure everything has arrived, is correct, and passes our quality assurance checks.
  • Identify and communicate missing, damaged, incorrect, or backordered products.
  • Pick up job materials from local suppliers and vendors as needed.
  • Deliver materials to and pick up completed materials from our painter/stainer.
  • Organize and stage windows, doors, and other materials in designated bays for upcoming installations.
  • Review upcoming jobs and verify that everything on the provided material list is physically on site and ready before installation.
  • Maintain accurate notes regarding orders, deliveries, backorders, missing items, and job readiness.
  • Communicate with the Production and Installation teams regarding the status of materials for upcoming jobs.
  • Maintain appropriate inventory levels of commonly stocked installation products and supplies.
  • Reorder standard stock products as needed.
  • Keep warehouse, storage, and staging areas clean and organized.

Industry experience is not required. We are much more interested in finding the right type of person for this role.

The ideal candidate is someone who:

  • Has exceptional attention to detail
  • Is highly organized
  • Can keep track of multiple jobs, orders, and deadlines at the same time
  • Has strong time-management and prioritization skills
  • Communicates clearly and consistently
  • Takes good notes and keeps accurate records
  • Is comfortable with and able to establish processes, lists, and checklists
  • Follows up on outstanding items rather than assuming they'll be taken care of
  • Notices when something is missing or doesn't match
  • Is willing to ask questions rather than guess
  • Is dependable and takes ownership of their responsibilities
  • Is comfortable using computers and learning new systems
  • Can work independently once trained
  • Is comfortable performing the physical aspects of receiving, organizing, and moving job materials
  • Has a valid driver's license and acceptable driving record
Experience:

No previous window, door, construction, purchasing, or warehouse experience is required.

We will provide training on our products, systems, suppliers, and processes.

If you do have previous experience with inventory, shipping and receiving, warehouse operations, purchasing, construction materials, or a similar position, that's a plus—but it is not necessary to be successful in this role.

What matters most is your ability to be given a list of what is needed and take responsibility for making sure everything on that list gets here and is ready when we need it.

What Success Looks Like:

There may be multiple installation jobs being prepared at the same time. Some products may already be here, some may still be on order, and others may be at a supplier or finisher. Your job is to know where everything stands.

For every upcoming installation, you should be able to answer:

Was it ordered?
Did it arrive?
Is it correct?
Is everything accounted for?
Is it staged and ready to go?

Our goal is no surprises on installation day. If something is missing, damaged, delayed, or incorrect, we want to know about it ahead of time so the team can address it—not when the installer arrives to load the job. When an installer arrives, everything should be there, organized, and ready to load.
