We are seeking a highly organized, customer-focused professional to support the Military & Family Readiness Center (M&FRC) at Kadena Air Base in Okinawa, Japan. This position directly supports the Transition Assistance Program (TAP) and serves military members and families as they navigate transition-related services.
This is an excellent opportunity for an administrative professional who understands the military environment and enjoys helping service members while maintaining accurate records and keeping programs organized.
What You’ll Do
The TAP Data Entry / Front Desk Specialist will provide front-desk customer service, administrative support, scheduling, data entry, and TAP program support. Responsibilities include:
- Greet service members, family members, and other M&FRC visitors and direct them to the appropriate program or staff member.
- Answer telephone inquiries and provide accurate information concerning routine M&FRC services.
- Schedule appointments, classes, workshops, Initial Counseling sessions, and other TAP activities.
- Enter and maintain participant and program information in AFFIRST, Microsoft Excel, and other approved Government systems.
- Maintain accurate TAP tracking records for separating and retiring service members.
- Review tracking information to identify members approaching required TAP milestones and notify appropriate TAP staff.
- Contact service members by telephone or email regarding appointments, required documentation, workshops, and scheduling.
- Assist with Initial Counseling and Pre-Separation administrative processes.
- Track service members approaching their Capstone requirements and assist with scheduling.
- Review workshop registration and attendance information and maintain accurate program records.
- Prepare TAP packets, handouts, forms, and program materials.
- Maintain client sign-in, intake, resource-usage, and accountability information.
- Assist with preparation of monthly program/data reports.
- Maintain organized electronic and paper records in accordance with Government privacy and records-management requirements.
- Coordinate regularly with M&FRC and TAP personnel while independently managing assigned administrative responsibilities.
Required Qualifications
Candidates must meet the following minimum requirements:
- High school diploma or equivalent.
- At least one year of data-entry experience.
- Proficiency with Microsoft Windows, Outlook, Word, Excel, and PowerPoint.
- Strong typing and data-entry skills with attention to accuracy.
- Strong written and verbal English proficiency.
- Ability to provide documentation/certification of English proficiency, such as TOEIC, TOEFL, ALCPT, or equivalent, if required.
- Understanding of military protocol, organizational structure, and chain of command.
- Experience with a Military & Family Readiness Center, Transition Assistance Program, military family services, or similar military/community support environment is highly desirable.
- Understanding of military family systems and the ability to work effectively with service members, families, civilian employees, and diverse populations.
- Strong customer-service, organizational, and communication skills.
- Ability to maintain sensitive information and follow Government privacy and records-management requirements.
- Ability to work independently in a professional military installation environment.
Preferred Qualifications
Preference may be given to candidates with previous experience involving:
- Transition Assistance Program (TAP)
- Military & Family Readiness Center (M&FRC)
- Airman & Family Readiness Center
- AFFIRST or similar military personnel/program databases
- Military administrative support
- Military transition, employment, relocation, family, or community-readiness programs
- Federal or DoD contract support
- High-volume scheduling and records management

Work Environment
This is an on-site position supporting the Military & Family Readiness Center at Kadena Air Base, Okinawa, Japan. Normal performance is approximately 40 hours per week, Monday through Friday.
The selected employee will work directly with military members and their families and must maintain a professional, respectful, customer-focused presence.
