Construction Administrator

We are seeking an experienced Construction Administrator to support the day-to-day accounting, payroll, and administrative operations of a growing mechanical contracting firm. This individual will play a key role in keeping projects organized, supporting field operations, and ensuring payroll, billing, and project documentation are processed accurately and on time.

Responsibilities

  • Process weekly payroll and timesheets for field and office personnel
  • Manage certified payroll reporting for public works projects
  • Maintain employee records, payroll documentation, and compliance files
  • Assist with accounts payable, accounts receivable, and general bookkeeping functions
  • Utilize QuickBooks for payroll, invoicing, reporting, and financial tracking
  • Support project managers with contracts, change orders, purchase orders, and project documentation
  • Track subcontractor compliance, insurance certificates, and lien waivers
  • Assist with project billing and collection efforts
  • Maintain organized project files and support overall office operations
  • Coordinate with field personnel, vendors, subcontractors, and clients as needed

Qualifications

  • 5–10+ years of construction office administration experience
  • Strong QuickBooks experience required
  • Experience processing certified payroll required
  • Experience managing payroll, timesheets, and construction-related accounting functions
  • Familiarity with public works projects and prevailing wage requirements is a major plus
  • Strong organizational and communication skills
  • Ability to manage multiple priorities in a fast-paced construction environment
  • Proficient with Microsoft Office Suite, including Excel
