Position Summary
OC Musculoskeletal Medical Center (OC MSK) is seeking a personable, detail-oriented Medical Assistant / Phlebotomist to serve as the first point of contact for patients and hands-on clinical support to our sports medicine physician. This role blends front desk and administrative duties with occasional medical assistant and phlebotomy responsibilities, supporting a non-operative orthopedic and regenerative medicine practice centered on ultrasound-guided procedures and orthobiologic treatments. Because our orthobiologic protocols (PRP) require large-volume blood draws, this role requires a highly experienced phlebotomist — a minimum of 5 years of hands-on phlebotomy experience is required.
Key Responsibilities
Front Desk & Administrative:
- Answer and route incoming phone calls; manage scheduling and appointment confirmations
- Greet patients, manage check-in/check-out, and maintain a welcoming front office environment
- Verify insurance information, collect co-pays/payments, and process related paperwork
- Maintain and update patient records in the EHR (Office Ally) and ensure documentation is complete and accurate
- Manage intake forms, consent forms, and other patient-facing documentation
- Coordinate referrals, prior authorizations, and communication with other providers as needed
- Keep the front office and waiting area organized, stocked, and presentable
Clinical / Medical Assistant Support:
- Room patients, obtain vital signs, and prepare patients for physician evaluation
- Assist the physician with in-office procedures, including ultrasound-guided injections, PRP, prolotherapy, and viscosupplementation
- Perform phlebotomy (venipuncture) for in-office lab draws, including large-volume PRP/A2M blood draws, following proper labeling and handling protocols
- Follow all HIPAA, OSHA, and infection-control standards in daily practice
Qualifications
- Minimum 5 years of hands-on phlebotomy experience required — this role involves large-volume blood draws, and only highly experienced phlebotomists should apply
- Certified Medical Assistant (CMA, RMA, or equivalent) and Certified Phlebotomy Technician (CPT)
- Prior experience in an outpatient medical office; orthopedic or sports medicine experience a plus
- Demonstrated phlebotomy skill with a steady, confident technique, including difficult draws and high-volume collections
- Comfortable assisting with in-office procedures and handling clinical instruments
- Strong phone etiquette and front-desk/customer service experience
- Proficiency with EHR systems (Office Ally experience a plus) and general computer literacy
- Excellent organizational skills and attention to detail
- Professional, friendly demeanor with strong verbal and written communication skills
- Current BLS/CPR certification
Physical Requirements
- Ability to stand, sit, and move throughout the office for extended periods
- Ability to lift and carry supplies/equipment up to 25 lbs
- Manual dexterity sufficient for phlebotomy and assisting with procedures
Schedule
Monday – Friday, standard office hours, with occasional flexibility based on patient scheduling needs.
