World Class Renewables Inc. is seeking a highly organized, dependable Calibration & Repair Service Coordinator to support our calibration and equipment-repair shop.

This person will coordinate incoming jobs, maintain accurate records, communicate with customers, and help keep technicians focused on scheduled priorities. The ideal candidate is proactive, detail-oriented, comfortable holding people accountable to deadlines, and able to bring structure to a fast-paced technical environment.

This is not a calibration-technician position. Technical experience is helpful but not required. Experience coordinating an industrial service, repair, calibration, manufacturing, automotive, HVAC, electrical, or similar operation is strongly preferred.

Key Responsibilities

  • Receive customer equipment and create accurate service work orders.
  • Photograph, label, and track equipment from arrival through completion and shipment.
  • Maintain a visible schedule of open jobs, assigned technicians, priorities, and promised completion dates.
  • Coordinate daily work priorities with technicians and company leadership.
  • Monitor jobs for delays, missing information, customer approvals, and required parts.
  • Contact customers with job-status updates and estimated completion dates.
  • Prepare and send repair estimates and calibration quotations.
  • Obtain customer purchase orders and approvals before work begins.
  • Maintain accurate customer, equipment, serial-number, and service records.
  • Review completed paperwork for accuracy and completeness.
  • Prepare calibration certificates, service reports, packing slips, and shipping documents.
  • Coordinate inbound and outbound shipping.
  • Assist with parts ordering and track backordered materials.
  • Keep customer equipment separated, labeled, and stored in the proper location.
  • Support invoicing and provide completed job documentation to accounting.
  • Answer phone calls and emails professionally and promptly.
  • Help develop and enforce consistent shop procedures.
  • Identify overdue jobs and escalate problems before customer deadlines are missed.
  • Maintain confidentiality of customer and company information.
  • Perform other administrative and service-coordination duties as assigned.


Required Qualifications

  • At least two years of administrative, service-coordination, dispatch, production-control, or office-management experience.
  • Excellent organizational and follow-up skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple jobs and changing priorities without losing details.
  • Confidence communicating deadlines and following up with technicians.
  • Proficiency with Microsoft Outlook, Word, and Excel.
  • Accurate data-entry and recordkeeping skills.
  • Professional customer-service skills.
  • Reliable attendance and a strong sense of ownership.
  • Ability to work independently and identify what needs attention without constant direction.
  • Preferred Qualifications
  • Experience in a calibration laboratory, repair shop, industrial service company, manufacturing facility, equipment distributor, or technical service department.
  • Familiarity with calibration certificates, service reports, purchase orders, quotations, and shipping documents.
  • Experience with calibration-management, service-management, ERP, CRM, or work-order software.
  • Basic understanding of ISO 9001 or ISO/IEC 17025 quality requirements.
  • Experience coordinating technicians or field-service personnel.
  • Familiarity with inventory, parts ordering, and warranty processing.


Preferred Qualifications

  • Experience in a calibration laboratory, repair shop, industrial service company, manufacturing facility, equipment distributor, or technical service department.
  • Familiarity with calibration certificates, service reports, purchase orders, quotations, and shipping documents.
  • Experience with calibration-management, service-management, ERP, CRM, or work-order software.
  • Basic understanding of ISO 9001 or ISO/IEC 17025 quality requirements.
  • Experience coordinating technicians or field-service personnel.
  • Familiarity with inventory, parts ordering, and warranty processing.


Within the first 90 days, the successful candidate will:

  • Ensure every customer item has a work order, location, status, assigned technician, and due date.
  • Establish a reliable daily schedule for open jobs.
  • Reduce overdue and misplaced equipment.
  • Improve the speed and accuracy of customer updates.
  • Ensure completed job documentation is accurate and delivered promptly.
  • Create a cleaner and more predictable workflow from equipment intake through invoicing and shipment.
