Administrative Assistant – HR Support (Temporary Contract)
Location: Philadelphia, PA – 100% Onsite
Contract Duration: 14–16 weeks
Schedule: Monday–Friday, 7:30 AM–4:00 PM
Some flexibility is available, but the selected candidate must arrive no later than 8:00 AM.
Start Date: ASAP
Pay Rate: Based on experience
Position Overview
We are urgently seeking a reliable and highly organized Administrative Assistant to provide temporary support to an established Human Resources and Benefits department. This 14- to 16-week assignment will provide maternity leave coverage and is not currently expected to extend beyond the contract period.
This position is ideal for an administrative professional who is comfortable with filing, document management, light phone responsibilities, and occasional reception coverage. Previous HR or benefits experience is not required.
Responsibilities
- Answer a low-volume internal HR and benefits hotline, averaging no more than approximately 20 calls per day.
- Accurately route callers to the appropriate HR business partner.
- Organize and maintain confidential physical and electronic personnel files.
- File new-hire onboarding documents and current employee status-change paperwork.
- Scan documents and upload them into an internal document-management system.
- Provide front-desk coverage during the HR receptionist’s lunch break.
- Greet visitors and direct them to the appropriate team member.
- Assist with data entry, mail distribution, document preparation, and other clerical duties.
- Handle sensitive employee information with professionalism and discretion.
This position will not provide benefits or retirement advice to employees.
Qualifications
- 1–3 years of administrative, clerical, reception, or office-support experience.
- High school diploma or equivalent required; associate degree preferred.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Strong organizational, filing, and document-management skills.
- Professional phone etiquette and customer-service skills.
- Ability to work independently and manage repetitive, detail-oriented assignments.
- Comfortable spending extended periods working at a desk or in a physical filing room.
- Ability to maintain strict confidentiality when handling personnel information.
- Comfortable learning basic scanning and document-upload software.
- Available to begin immediately and complete the full 14- to 16-week assignment.
Additional Information
- Prior HR, benefits, retirement, Oracle Financials, or document-management software experience is not required.
- This is a fully onsite position; remote or hybrid work is not available.
- The interview process consists of one onsite interview.
