Location: Indianapolis, IN (In-Office)
Schedule: Part-Time | 20 Hours per Week
Employment Type: Temp-to-Hire

Pay: $25-$27/hr

Administrative Assistant Job Description

We are seeking a highly organized and detail-oriented Administrative Assistant to support daily office operations, employee engagement initiatives, scheduling coordination, onboarding activities, and administrative projects. This position is ideal for a professional who thrives in a fast-paced, deadline-driven environment and enjoys serving as a key resource for both employees and leadership.

The successful candidate will demonstrate exceptional customer service, communication, and organizational skills while supporting a variety of administrative, operational, and office management functions.

Key Responsibilities

Scheduling & Administrative Support
  • Coordinate interviews and manage scheduling logistics
  • Arrange internal and external meetings, conference rooms, and visitor accommodations
  • Coordinate travel arrangements and related logistics
  • Assist with proposal preparation, document assembly, and presentation materials
  • Support workflow processes, document routing, and deadline tracking
Document Processing & Administrative Operations
  • Assist with document preparation, assembly, and distribution
  • Support electronic filing processes and package tracking
  • Coordinate client and employee communications and mailings
  • Maintain accurate records, logs, and tracking reports
  • Ensure timely completion of administrative tasks and deliverables
New Hire Onboarding Support
  • Welcome and assist new employees during onboarding
  • Support onboarding checklists and first-day activities
  • Coordinate workspace readiness and access setup
  • Facilitate introductions and provide administrative support for new team members
  • Help create a positive and engaging onboarding experience
Office Administration
  • Assist with seating and workspace coordination
  • Support timesheet and expense reporting reminders
  • Coordinate employee lunches, celebrations, and special events
  • Serve as a primary point of contact for administrative requests
  • Provide support to employees, management, and visitors
Office Operations & Facilities Support
  • Assist with facilities, equipment, and vendor-related needs
  • Monitor office supply inventory and coordinate replenishment
  • Manage incoming and outgoing mail, shipping, and receiving
  • Ensure meeting rooms, common areas, and office spaces remain organized and functional
  • Support overall office efficiency and continuity
Employee Engagement & Culture
  • Coordinate office events, meetings, and employee engagement activities
  • Assist with workplace initiatives and team-building events
  • Support community involvement programs and office gatherings
  • Help foster a positive, collaborative, and welcoming office environment
Qualifications

Required
  • High School Diploma, GED, or equivalent
  • 3+ years of administrative assistant, office coordinator, executive assistant, or office management experience
  • Advanced proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint
  • Strong organizational skills with exceptional attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities in a deadline-driven environment
  • Strong customer service and interpersonal skills
  • Experience handling confidential and sensitive information
  • Ability to work effectively with employees, leadership, and external stakeholders
Preferred
  • Bachelor's degree
  • Experience supporting a professional services organization
  • Experience with Oracle Financials or similar ERP systems
