Job Description
We are seeking a highly organized and proactive Office Coordinator to support the daily operations of our office and help create an efficient, professional, and welcoming workplace. This role is ideal for someone who enjoys multitasking, problem-solving, and providing exceptional administrative support while serving as a key resource for employees, visitors, and vendors.
As the Office Coordinator, you will play a vital role in maintaining office operations, coordinating workplace services, and supporting employee engagement activities that contribute to a positive and productive work environment.
What You'll DoAdministrative & Operational Support- Provide day-to-day administrative support to ensure smooth office operations.
- Assist with coordinating office processes and procedures to improve efficiency and productivity.
- Serve as a central point of contact for office-related inquiries and requests.
- Welcome visitors and assist employees, vendors, and service providers.
- Coordinate office maintenance, repairs, and facility-related services.
- Manage office supplies, equipment, and common areas to ensure the workplace remains organized and fully stocked.
- Oversee conference room scheduling and readiness.
- Organize and support company meetings, training sessions, and office events.
- Coordinate meeting logistics, including scheduling, catering, room setup, and materials preparation.
- Assist with employee engagement activities and workplace initiatives.
- Process invoices, purchase orders, and expense reports.
- Support budget tracking for office-related expenses.
- Maintain vendor records, contracts, and service agreements.
- Coordinate with vendors to ensure timely and effective service delivery.
- Manage incoming and outgoing mail and shipping services.
- Maintain office records, safety documentation, workplace communications, and postings.
- Support office improvement projects and space-planning initiatives.
- Ensure office policies and procedures are followed consistently.
- Strong organizational skills with exceptional attention to detail.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
- Strong customer service and interpersonal skills.
- Ability to work independently while collaborating effectively with a team.
- Professional demeanor and a positive, service-oriented attitude.
- Previous administrative, office support, receptionist, or customer service experience.
- Experience coordinating meetings, events, or office operations.
- Familiarity with invoice processing, vendor management, or facilities coordination.

Job Type & LocationThis is a Contract position based out of Minneapolis, MN 55416.
Pay and BenefitsThe pay range for this position is $23.00 - $26.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
