We are looking for an organized and detail-focused Office Manager to support daily business operations in Rowley, Massachusetts. This contract-to-permanent opportunity is ideal for someone who can balance accounting and project support. The person in this role will help keep the office running smoothly by overseeing essential processes, maintaining accurate documentation, and serving as a reliable point of contact for internal teams and external partners.


Responsibilities:

• Coordinate day-to-day office activities to ensure an efficient, organized, and well-structured work environment.

• Process billing records, prepare invoices, and support both incoming and outgoing payment activities with accuracy and timeliness.

• Maintain financial documentation related to accounts payable and accounts receivable, ensuring records are current and properly organized.

• Enter, update, and verify operational and project-related data within company systems and spreadsheets.

• Provide administrative support through scheduling, correspondence, file management, and general office coordination.

• Monitor project progress, track status updates, and help maintain visibility into deadlines, deliverables, and outstanding items.

• Work with vendors to manage communications, coordinate services, and help resolve routine issues related to office and project needs.

• Oversee office supply inventory, place replenishment orders, and ensure essential materials are consistently available.

• Support front desk and reception-related tasks by assisting visitors, answering calls, and directing inquiries appropriately.

• Previous experience in office management, administrative coordination, or a similar business support role.
• Working knowledge of bookkeeping functions, including invoicing, billing, accounts payable, and accounts receivable.
• Strong data entry skills with a high level of accuracy and attention to detail.
• Ability to manage multiple priorities, maintain organized records, and follow through on time-sensitive tasks.
• Clear and detail-oriented communication skills for interacting with staff, vendors, and visitors.
• Experience tracking projects, monitoring status updates, or supporting operational workflows.
• Proficiency with standard office software and general administrative systems.
• Ability to manage office supply needs and handle reception or front office responsibilities as needed.
