Human Resources Operations Manager
Job Description
We are looking for an experienced Human Resources Operations Manager to support and strengthen HR operations for a growing organization in San Ramon, California. This is ideal for a hands-on, detail-oriented HR specialist who can guide employees and managers, improve consistency across people processes, and bring structure to a dynamic environment. The role requires a confident partner who can balance day-to-day HR administration with employee relations support, compliance oversight, and process improvement initiatives.
Responsibilities:
• Act as a primary HR contact for employees and managers by providing guidance on workplace policies, resolving concerns, and escalating complex or high-risk matters when appropriate.
• Handle employee relations activities with a practical, well-documented approach, including coaching conversations, performance discussions, corrective actions, and conflict resolution.
• Oversee essential HR operations such as onboarding for new team members, employee separations, personnel record maintenance, policy administration, benefits coordination, compensation updates, and internal HR communications.
• Review existing HR workflows, identify inconsistencies or control gaps, and design more standardized procedures that improve clarity, accountability, and execution across the organization.
• Support compliance efforts by maintaining organized documentation, helping prepare for recurring audits, tracking follow-up actions, and coordinating with external HR or compliance partners as needed.
• Influence managers and staff through clear communication and sound judgment, helping leaders address employee matters effectively even without direct reporting authority.
• Drive HR-related projects by partnering with leadership, operations, compliance, and business stakeholders on initiatives tied to organizational growth, process improvements, and system-related changes.
• Work independently in a smaller company setting by setting priorities, communicating progress proactively, and managing multiple HR needs with minimal oversight.
• 7+ years of experience in human resources with strong exposure to both HR operations and employee relations.• Demonstrated ability to manage sensitive employee issues involving performance management, coaching, workplace conflict, corrective action, and supporting documentation.
• Experience administering core HR functions, including onboarding, offboarding, benefits support, policy management, employee records, and compensation-related updates.
• Solid knowledge of HR compliance practices and employment standards, with the ability to apply policies consistently and maintain accurate documentation.
• Background supporting or preparing for internal, quarterly, or annual audit activities in coordination with external partners or compliance resources.
• Proven ability to improve processes, establish structure, and implement standardized HR procedures within a developing or less centralized environment.
• Strong communication, project coordination, and relationship management skills, with the ability to work effectively with senior leaders, managers, and employees.
• Prior experience with HRIS platforms is required; familiarity with Paychex is helpful but not mandatory.
