This role provides critical administrative support to a busy industrial facility, ensuring that documentation, regulatory records, and logistics information are processed accurately and efficiently. You will work closely with truck drivers, office staff, and plant operations to maintain smooth check-in processes, compliant recordkeeping, and timely data entry across multiple systems.

Responsibilities

  • Process incoming paperwork and documentation related to logistics, inventory, and facility operations.
  • Review, update, and maintain regulatory and compliance records to support audits and reporting requirements.
  • Assist truck drivers with paperwork completion and facility check-in procedures to ensure efficient throughput.
  • Perform accurate data entry across multiple software systems, maintaining high levels of detail and consistency.
  • Track inventory and container information to support receiving, logistics, and operational planning.
  • Scan, copy, file, and organize documentation in both physical and digital formats for easy retrieval.
  • Support clear and timely communication between office staff and plant operations to resolve issues and coordinate activities.
  • Maintain records and documentation required for audits, compliance, and regulatory inspections.
  • Cross-train with and assist other administrative team members to provide coverage and support as needed.
  • Follow established procedures and contribute to continuous improvement of administrative processes.

Essential Skills

  • At least 1 year of experience in administrative, logistics, inventory, receiving, or office coordination roles.
  • Proven administrative support and assistance experience in an office or industrial environment.
  • Strong data entry skills with a focus on speed, accuracy, and consistency.
  • Proficiency using computers and Microsoft applications for documentation and recordkeeping.
  • Experience handling receiving, logistics, inventory, or clerical tasks in a fast-paced setting.
  • Excellent verbal and written communication skills for interacting with drivers, office staff, and plant personnel.
  • Ability to understand and work with DOT-related documentation and requirements.
  • Exceptional attention to detail and accuracy when processing paperwork and compliance records.
  • Ability to quickly learn and navigate new software systems and internal tools.
  • Reliable attendance and a stable work history demonstrating commitment and dependability.
  • Ability to work onsite in a fast-paced industrial environment and follow established safety and operational procedures.

Additional Skills & Qualifications

  • Experience in hazardous waste management, environmental services, or industrial operations is beneficial but not required.
  • Background in inventory tracking or container management is a plus.
  • Comfort collaborating with cross-functional teams, including drivers, office staff, and plant operations.
  • Interest in supporting environmental sustainability and compliance-focused work.
  • Willingness to cross-train and take on additional responsibilities as the facility’s needs evolve.
  • Strong interpersonal skills and a customer-service mindset when assisting drivers and internal stakeholders.

Work Environment

This position is fully onsite at an industrial facility in Tacoma, WA. The role follows a Monday–Friday schedule, with training conducted from 8:30 AM to 5:00 PM during the first month. After training, the regular schedule is 3:00 PM to 11:30 PM, with no travel required. You will work in a fast-paced environment that supports environmental sustainability and hazardous waste management, using multiple software systems and standard office equipment such as computers, scanners, copiers, and filing systems. Job Type & Location

This is a Contract to Hire position based out of tacoma, WA.

Pay and Benefits

The pay range for this position is $22.00 - $24.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
