We are looking for an Administrative Assistant to support daily office operations for a financial services organization in Buffalo, New York. This contract-to-permanent opportunity is ideal for someone who enjoys creating structure, managing competing priorities, and providing a high-quality experience for both internal teams and external visitors. The role is primarily onsite and offers the chance to contribute to a busy office environment while building long-term potential with the team.

Responsibilities:
• Manage front desk and general office activities, ensuring visitors, callers, and staff receive prompt and courteous support.
• Handle incoming phone calls, route messages accurately, and respond to routine inquiries with a high level of customer service.
• Prepare, update, and maintain documents, spreadsheets, and other records using Microsoft Office applications.
• Perform data entry and file management tasks with strong attention to detail and accuracy.
• Coordinate schedules, meetings, and administrative workflows to help keep daily operations organized and on track.
• Support office leadership with a range of administrative duties, including correspondence, document preparation, and follow-up on assigned tasks.
• Assist during high-volume periods by adjusting priorities, taking on additional office support duties, and working overtime when business needs require it.
• Contribute to an efficient and well-organized office setting by helping maintain administrative processes and routine operational support.
• Participate in onsite office coverage and transition into a hybrid schedule over time based on business needs and seasonal workload demands.• Prior experience in an administrative assistant, receptionist, or general office support role.
• Strong ability to manage inbound calls, greet visitors, and provide effective front-office support.
• Proficiency with Microsoft Office, including Word, Excel, and Outlook.
• Accurate data entry skills and the ability to maintain organized records and documentation.
• Comfortable working in a fast-paced, detail-oriented office environment with shifting priorities.
• Strong communication skills and a dependable, service-oriented approach to supporting team needs.
• Ability to work onsite in Buffalo, New York, with flexibility for overtime during peak business periods.
• Must be able to complete required pre-employment background screening, and all candidates are required to undergo screening before the start date.
