Safety Administrative Assistant
Job Description
The Bilingual Safety and Administrative Assistant supports the safety and human resources functions by creating, implementing, and monitoring safety programs, conducting training, and managing related administrative tasks. This role plays a key part in maintaining a safe work environment, ensuring compliance with safety regulations, and serving as an approachable resource for employees who have safety concerns or need assistance with incident reporting and investigations.
Responsibilities- Create and implement safety plans and ensure they are followed consistently on a daily basis.
- Review existing safety policies and procedures and recommend improvements when needed.
- Inspect facilities regularly to detect existing or potential safety and health hazards.
- Develop and maintain a strong working knowledge of applicable safety regulations and standards.
- Identify safety training needs across the workforce and develop action plans to complete required training.
- Ensure annual refresher safety training is planned, delivered, and documented as needed.
- Conduct powered industrial truck trainings and other required safety trainings for employees.
- Perform administrative duties and maintain accurate safety-related recordkeeping and documentation.
- Support injury triage by gathering information, documenting incidents, and coordinating next steps.
- Conduct thorough accident and incident investigations, including interviewing involved parties and assisting supervisors in determining root causes.
- Communicate effectively with supervisors and staff to support investigations, training sessions, and ongoing safety initiatives.
- Serve as an approachable point of contact for employees to raise safety concerns and questions.
- Provide customer-service-oriented support to employees and supervisors regarding safety and injury reporting.
- Collaborate closely with safety and human resources leadership to align safety practices with company policies.
- Flex work schedule as needed to be present across different shifts to address incidents and training needs.
- Fluent in Spanish and English, with the ability to read, write, and speak both languages clearly and professionally.
- Strong communication skills, including the ability to speak confidently in front of groups during trainings and meetings.
- Ability to conduct safety trainings, including powered industrial truck training, in both English and Spanish as needed.
- Proficiency with Microsoft Office and basic data entry for safety and administrative recordkeeping.
- Demonstrated customer service skills and a friendly, approachable demeanor.
- Administrative skills, including organizing documents, maintaining records, and managing safety-related paperwork.
- Experience with injury reporting, incident documentation, and supporting accident investigations.
- Understanding of safety principles and an interest in developing deeper knowledge of safety regulations.
- Ability to work flexibly across different shifts to respond to incidents that require immediate attention.
- Reliability, strong work ethic, and motivation to learn and grow in the safety and administrative field.
- Manufacturing or production environment experience is highly preferred.
- Experience in human resources or supporting HR-related processes is beneficial.
- Prior exposure to safety programs, safety training, or workplace safety initiatives is an advantage.
- Bilingual Spanish-English experience in a professional setting is strongly valued.
- Ability to build trust and make employees feel comfortable bringing forward safety concerns.
- Interest in developing a career path that can lead to future supervisory roles in safety or operations.
- Comfort working within a meat processing or industrial facility environment.
This position is based in an office within a meat processing facility and works closely with both safety and human resources teams. The role initially follows a day shift schedule of approximately 6:00 a.m. to 3:00 p.m. for several months to cover a safety coordinator on leave. After this period, the schedule transitions to a swing shift of approximately 3:00 p.m. to 12:00 a.m., with occasional flexibility required to be present across all three facility shifts when incidents or training needs arise. The environment combines office-based administrative work with regular presence on the production floor to conduct inspections, trainings, and investigations. The safety team is small and collaborative, with safety and HR leadership providing guidance while allowing autonomy in daily operations. The company culture supports learning and growth, and while this role does not have a clearly defined internal advancement path, it offers valuable experience that can support progression into future supervisory roles in safety or operations at other organizations.
Job Type & LocationThis is a Contract to Hire position based out of Woodburn, OR.
Pay and BenefitsThe pay range for this position is $20.50 - $22.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
